Job Summary
Support the Contracts Manager and Sales Department by administering and coordinating all aspects of contract management. This role is responsible for reviewing contract details, facilitating timely execution, managing related documentation, and ensuring compliance with company policies and customer requirements. Key responsibilities include handling Certificates of Insurance (COI) requests, warranty documentation, NDAs, prequalification requests, and simple terms and conditions reviews. The Contracts Specialist ensures that all contract processes are executed efficiently and accurately while maintaining organized records and supporting the company’s overall risk management practices.
- Review contract details and ensure accuracy, compliance, and alignment with company policies and guidelines.
- Coordinate and facilitate the execution of contracts, tracking approvals and signatures to ensure timely completion from both internal and external parties.
- Manage and maintain warranty documentation, NDAs, and Certificates of Insurance (COIs), including gathering supporting documents and information from various departments and external parties.
- Perform simple terms and conditions reviews, escalating complex matters to the Contracts Manager or legal counsel as needed.
- Support prequalification requests by gathering and submitting required company information.
- Maintain organized digital records of all contracts and related documentation within the company’s Contract Lifecycle Management (CLM) system.
- Monitor contract status, deadlines, and renewal requirements, providing reminders and updates to stakeholders as needed.
- Assist the Contracts Manager with drafting, editing, and reviewing contracts and other legal or compliance-related documents.
- Support internal departments with contract-related questions, document requests, and approval workflows.
- Strong proficiency in Microsoft Word and Adobe Acrobat; ability to draft, format, and edit contracts and supporting documents with precision.
- Familiarity with Contract Lifecycle Management (CLM) systems and approval workflow processes.
- Exceptional attention to detail and accuracy when reviewing contracts and documentation.
- Experience with CLM software, approval workflows, and contract review strongly preferred.
- Associate or Bachelor’s degree in Pre-Law, Business Administration, or a related field preferred. Minimum of 2+ years of experience in contract management, legal administration, or a related role.- 401(k) matching
