Position Overview
The Project Coordinator / Installation Scheduler plays a central role in the successful execution of flooring and interior finish projects. This full-time, bilingual (English/Spanish) position is responsible for scheduling installations and service work, managing subcontractor performance, coordinating with internal teams, and ensuring projects stay on track. The ideal candidate brings industry knowledge, sharp organizational skills, and an ability to manage multiple moving parts while maintaining quality and client satisfaction.
Key Responsibilities
Scheduling & Job Coordination
•Maintain and manage installation schedules for multiple projects
•Forecast builder and salesperson demand to ensure appropriate scheduling and labor allocation
•Prepare pick tickets for the warehouse staff to ensure timely job fulfillment
•Schedule and confirm appointments with clients and subcontractors
•Communicate scheduling changes to all stakeholders, including sales, warehouse, and installers
•Keep company systems and scheduling tools (e.g., NetSuite) up to date for real-time job tracking
Installer & Field Oversight
•Recruit and onboard installers as needed
•Direct and monitor installer crews / subcontractors together with project managers
•Monitor new installers to ensure compliance, training, and quality performance
•Communicate quality expectations and provide regular feedback to installation teams
•Review work orders for completeness before and after installation
•Back charge installers for non-compliance, damages, or delays when necessary
•Oversee daily routes and responsibilities for Field Supervisors
Project Execution & Support
•Oversee progress and ensure compliance with project timelines
•Work proactively to avoid delays and maximize efficiency
•Liaise with Sales and Purchasing teams to ensure materials, pricing, and timelines align
•Track and verify all subcontractor invoices for accuracy before approving for payment
•Answer phones and emails, respond to inquiries from customers, project managers, sales reps, etc.
•Maintain calendars, databases, and project documentation for seamless internal coordination
Client Communication & Service
•Serve as a communication bridge between the company, homeowners, builders, and sales reps
•Provide status updates and document project progress in NetSuite and shared systems
•Handle warranty and service requests professionally and expediently
•Escalate and resolve service issues to ensure customer satisfaction
Qualifications / Skills Required
•Bilingual – English and Spanish required
•Flooring industry experience required
•Strong organizational and time-management skills
•Exceptional attention to detail
•Proactive problem solver with a customer-first mindset
•Ability to manage multiple projects simultaneously in a fast-paced environment
•Strong verbal and written communication skills
•Computer proficiency; experience with NetSuite or other ERP systems is a strong plus
