JOB DESCRIPTION SUMMARY - The basic function of the Accountant is:
•Accounts Payable, Accounts Receivable, Payroll and General Ledger
•Maintain Contract, Job Cost, Inventory, Service Management modules
•Come up with more efficient ways of doing business
•Make customer service calls and follow up calls regarding billing
•Take calls from vendors regarding invoices payable
•Ensure discounts are taken
•Produce required reports in a timely and accurate manner
•Assist in Management decision-making
•Maintain employee benefits
•Maintain employee records
•Maintain employee 401K savings plan

EDUCATION
•Required: High School Graduate
•Preferred: Post-secondary education in a related field
EXPERIENCE
•Required: A minimum of 2 years experience in accounting.
SKILLS, KNOWLEDGE, AND ABILITIES
•The use of analytical and observational skills which demonstrate an ability to organize, direct, budget, control, and manage all accounting and human resource issues.
•Ability to use computers and a good understanding of Word and Excel, and accounting software
•Ability to communicate, cooperate, and interface effectively with colleagues and to make constructive business decisions and recommendations
•Ability to prepare budgets and other necessary reports as necessary for the President
•Language ability includes reading, writing, spelling, and the ability to communicate clearly, both verbally and in writing, on technical and business topics in clear English
•Strong mathematical ability and calculator skills
•Ability to be tactful and direct when speaking or documenting ideas and/or procedures.
AUTHORITY - The Accountant is delegated sufficient authority to make decisions and take actions required to satisfy the responsibilities of this position. Include in this is the accountability both for actions taken and for actions not taken. The Accountant’s authority includes:
•Authority to plan, organize, manage and control functions related to A/P, A/R, Payroll, G/L, Inventory, Purchasing, Job Cost, and Service Management. This authority includes developing and implementing such policies and procedures for office operations under his or her control as may be necessary for its efficient and cost-effective operation, within the general framework of policies and procedures of the Company and the President.
•Authority to strictly enforce policies and procedures applicable to office personnel under his or her control.
•Authority to prepare, maintain, and update job descriptions and/or duties lists for the personnel under his/her direction and control, when and where appropriate, within the general framework of the policies and procedures as set from time to time by the Company and the President.
•Authority to delegate responsibilities and authority appropriately to ensure the realization of the Company’s goals and objectives in an effective and practical manner.
•Authority to take all necessary steps or actions to ensure that all accounting tasks and activities under his/her control are completed timely in a manner that maximizes the overall profitability of the company.
RESPONSIBILITIES, DUTIES, AND TASKS - Responsibilities include, but are not limited to (as applicable):
•Attend and participate in applicable management and other meetings.
•Make recommendations as needed to the Vice President for the creation or elimination of positions under the control of the Accountant to enable the proper maintenance of the functional organization of the Company.
Specific Tasks and Duties include, but are not necessarily limited to:
•Set up and implement office procedures and policies. Oversee that they are followed.
•Keep files and records organized.
•State and County tax calculations and submissions.
•Produce Billings and pay requests in a timely manner, and keep delinquent accounts to a minimum.
•Keep union documentation files.
•Maintain records of vehicle registration and insurance coverage.
•Reconcile Purchase Orders and Statements.
•Maintain and update price lists from vendors.
•Obtain approval of invoices/subcontractor payments from project manager.
•Assist Management in maintaining employee manual.
•Prepare management reports as required.
•Assist in management decision making.
•Maintain employee health insurance coverage.
•Maintain employee benefits and record benefits earned and used (i.e., vacation, sick, holiday, etc.)
•Maintain business insurance coverages.
•Business and Payroll Taxes.
•Submit monthly union reports and payments.
•Submit Targeting reports to Unions. xix) Maintain employee 401(K) savings plan.
•Research and purchase computer hardware and software for the Accounting Department.
•Assist the Project Manager with researching and purchasing equipment for the Project/Estimating Department.
•Assist in computer training of staff or find an outside training source.
•Maintain personnel records.
•Oversee the activities of the A/P and A/R Accounting Clerks.
•Record general journal entries and post all accounting activity to the general ledger on at least a weekly basis.
•Maintain general ledger accounts. Check all subledger accounts for accuracy and required backup.
•Reconcile cash accounts.
•Take care of the payroll process. On a weekly basis receive in time from field supervisors and employees. Complete timesheets. Enter information into the computer system, double check entries, issue checks. File payroll reports accordingly.
•Maintain employee purchase records.
•Produce manual checks for separate, savings and child support payments.
•Maintain savings and child support records.
•Take care of certified payroll reporting.
•Accounts Receivable billing.
•Maintain necessary reports.
