The Service Writer plays a key role in supporting the repair and maintenance of tractors and trailers by serving as the communication link between drivers, mechanics, and the fleet management team. This role is responsible for creating accurate repair orders, tracking progress, and ensuring the timely completion of work while maintaining detailed service records and supporting operational efficiency in a fast-paced shop environment.
Open, update, and close repair orders in the TMT system, ensuring all relevant details such as unit number, mileage, reported issues, and repair instructions are clearly and accurately documented.
Act as the first point of contact for driver-reported issues, accurately translating concerns into actionable repair orders and ensuring clear communication with mechanics.
Communicate daily with technicians and the fleet manager to prioritize repairs, monitor job progress, and provide real-time updates regarding completion timelines, parts delays, or scope changes.
Maintain organized service files, parts orders, and inspection records. Ensure all documentation meets internal standards and DOT compliance requirements.
Utilize service software (TMT, Kissflow, etc.) to input work performed, track maintenance history, initiate purchase requests, and manage parts pickup or returns & warranty.
Assist with parts organization, fifth wheel tracking, flares, pressure washer upkeep, and other daily shop responsibilities as needed. Support the team with inventory counts, vendor communication, and special maintenance projects.
1–2 years of experience in a maintenance, fleet, or logistics environment preferred
Ability to multitask and thrive under pressure in a fast-paced shop setting
Comfortable working in and around heavy-duty shop operations
Proficient in-service tracking software, Microsoft Office, and data entry
Must be able to lift up to 50 lbs, stand, and walk for extended periods
