General Purpose

Compiles data, tracks, summarizes, and reports results, and Maintains property management database. Compiles, organizes, and summarizes data from multiple sources; monitors/tracks processes to ensure their execution within defined parameters.

Responsibilities

•

Provide support through the preparation of reports, letters, and spreadsheets.

•

Ensure activities are performed in accordance with contractual, corporate, and regulatory requirements.

•

Track documents including contracts, payments, and invoices, using standardized processes where applicable.

•

Communicate with staff regarding procurement/accounting information.

•

Populate the department’s database (REFX, an SAP module) with information from lease contracts, including term of contract, payments and critical dates.

•

Prepare weekly, monthly and ad-hoc reports from the database.

•

Prepare purchase orders and requisitions, coordinating with property agents and the procurement department.

•

Prepare check requests and wire transfers at the direction of property agents.

•

Process invoices

•

Work with accounts receivable to ensure payments are posted correctly.

•

Review aging reports for issues and resolve them independently or with support from property agents.

Requirements

•

High School Diploma or equivalent; or the equivalent combination of education and experience.

•

A minimum of three years’ work experience.

•

Familiarity with databases.

•

Ability to accurately document contract terms.

•

Detailed oriented and accurate.

•

Excellent communication and interpersonal skills including the ability to resolve internal or external customer issues which may be sensitive in nature.

•

Proficient with the use of personal computers including spreadsheet, database, word processing and presentation applications to compile, maintain, and present information.

•

Ability to demonstrate strong time management, prioritizing and organizational skills.

Preferences

•

Bachelor’s Degree in Business Administration or a related field

•

Experience in SAP.

•

Demonstrated understanding of standard commercial leases (term dates and rent)
