We are seeking a highly organized and detail-oriented Senior Project Coordinator to join our dynamic team.
The Senior Capital Project Materials Coordinator is a key member of the project execution team responsible for ensuring material visibility, data accuracy, and process efficiency on large-scale capital construction projects. Reporting directly to the Senior Material Manager, this role requires advanced expertise in converting raw data into actionable insights, optimizing workflows, and supporting end-toend material readiness. This is a hands-on position that blends field coordination with analytical reporting to drive schedule alignment and execution clarity.
Classification: Non-Exempt (Contract)
Location: On-Site (Wheatfield, IN)
Schedule: 5/10s (50 hours/week)
Compensation: $65–$80 per hour, DOE
Per Diem: Available for highly qualified out-of-town candidates
Project Start –June/ July 2025 Project Completion – December 2027
Duties
•Reporting & Data Analytics
•Build and maintain advanced dashboards and custom reports (Excel, Power BI, or equivalent) to monitor material status, lead times, inventory aging, and risk exposure.
•Consolidate and interpret data from packing slips, purchase orders, ERP systems, and warehouse logs into clear, actionable insights.
•Standardize reporting frameworks across multiple projects to support enterprise-level visibility and decision-making. Process Development & Optimization
•Design, implement, and refine workflows that improve speed, accuracy, and consistency in material coordination.
•Collaborate with the Senior Material Manager to develop SOPs, establish performance metrics, and lead continuous improvement efforts.
•Identify process inefficiencies and propose solutions, including automation opportunities where applicable.
•Material Coordination Support
•Serve as a subject matter expert and escalation point for complex material tracking, chain of custody documentation, QA/QC and reconciliation issues.
•Coordinate closely with procurement, logistics, and warehouse personnel to ensure material delivery aligns with project needs and is fully traceable.
•Review vendor submittals and shipping documentation for accuracy, compliance, and contract alignment.
•Capital Project Alignment
•Support multi-million-dollar capital construction projects by ensuring materials are aligned with construction phasing and scheduling requirements.
•Proactively track long-lead items and delivery constraints, identifying and resolving issues before they impact field operations.
•Present material readiness reports and participate in project meetings to inform planning and risk mitigation efforts.
Qualifications
•Post-secondary education in a related field preferred; however,5+ years of experience in material coordination, construction logistics, or supply chain management on large-scale capital projects (utilities, energy, or infrastructure preferred).
•Advanced Excel proficiency required, including pivot tables, VLOOKUP/XLOOKUP, conditional formatting, data visualization, and data modeling.
•Experience developing dashboards and reports; Power BI or Tableau experience is a strong plus.
•Proven ability to create and implement SOPs and lead process improvement initiatives.
•Familiarity with material tracking workflows, procurement documentation, and vendor submittal requirements.
•Hands-on experience with ERP systems (e.g., SAP, Oracle, JD Edwards) or procurement tools (e.g., Coupa, Ariba).
•Excellent communication, organizational, and analytical skills.
•Ability to manage multiple priorities, solve problems proactively, and work independently in a fast-paced environment.
•Associate or bachelor’s degree in Supply Chain Management, Construction Management, Business, Accounting, or Data Analytics preferred.
•Equivalent experience in materials coordination, cost controls, or project reporting will be considered in lieu of formal education.
