Reports To: Reporting & Compliance Supervisor
We are seeking a detail-oriented and proactive Reporting and Compliance Specialist to join our team onsite. This role is responsible for ensuring the company remains compliant with regulatory requirements, internal standards, and external audit requests. This role oversees reporting, documentation, licensing, vendor management, and IT/vendor oversight while serving as the central point of contact for compliance-related activities. - Accident Reporting: Compile documentation, facilitate claim reporting, coordinate claims with insurance companies and government agencies, process approved claim payouts, and track internal claim metrics.
- Mail Depository Management: Update file index, facilitate scheduled shred dates, oversee receipt and distribution of incoming mail, ensure secure storage protocols, and manage external contact lists.
- Audit Support (External & Internal Compliance): Act as primary contact for external audits, manage audit timelines and deliverables, conduct internal audits, provide feedback to staff, and recommend or coordinate training.
- Contract Management: File corporate contracts, coordinate with contract team to record key action items, and integrate tasks into company task lists.
- IT Oversight: Manage IT vendor relationships, oversee helpdesk functionality, support strategic IT initiatives, and assist in planning and execution of IT projects.
- Regulatory Reporting: Prepare and file compliance reports, renewals, and other regulatory filings to ensure adherence with governing agencies.
- Licensing & Insurance Management: Track and process renewals for business licenses, vehicle licenses, and insurance certificates (COIs). Ensure all internal stakeholders maintain necessary licenses.
- Vendor Management: Oversee vendor set up and onboarding, ensure proper documentation, and communicate cost adjustment (CPI) updates to vendors.
- Onboarding Kit Oversight: Maintain employee onboarding kits, ensure access to key company assets, and manage tools required for job functionality.
- Strong knowledge of regulatory compliance and reporting requirements.
- Excellent organizational and documentation skills.
- Strong communication skills with ability to coordinate across multiple departments and external stakeholders.
- Proficiency in Microsoft Office Suite (Excel, Word, Outlook) and database management.
- Ability to manage multiple priorities and meet strict deadlines.
- Strong problem-solving skills with a proactive and detail-oriented mindset.
- Attention to Detail: Ensures accuracy and compliance with reporting, documentation, and regulatory filings.

- Onsite position; may require occasional travel for training or audits.
- Must be able to sit, stand, bend, and lift up to 20 pounds.

- High school diploma or equivalent required; Associate’s or Bachelor’s degree in Business, Compliance, Risk Management, or related field preferred; equivalent work experience accepted.
- 3–5 years of experience in compliance, reporting, or regulatory roles, preferably in the waste management, environmental services, or related industries.
- Experience with vendor management, IT project support, or regulatory audits strongly preferred.
