Duties and Responsibilities:
•Provides administrative support and counsel to the Regional Manager to facilitate efficient management of the regional service centers.
•Supervises Regional Service Administrator, if applicable.
•Continuously assesses all assigned regional organizational and developmental processes for gaps, develops strategies for correcting gaps, and implements solutions to facilitate the efficiency of the service centers.
•Manages SCID generation, processing, tracking, and resolution on active customer accounts. Resolves SCIDs noted on Open SCID report, Ready Bill Report, and Calls with Cost and Completed Calls Report in a timely manner. Electronically saves processed invoices and all related documentation as directed.
•Creates new customers/locations in Dynamics utilizing established conventions; obtains credit applications from prospective clients; attaches appropriate information to customer accounts.
•Reviews SCIDs that have accepted proposals for complete documentation; changes these SCIDs from REQ status to ACP "Accepted Proposal" and dispatches according to set policy.
•Responsible for all Regional service invoicing, following established invoice processes. Research and resolution when needed to resolve customer invoicing issues and follow up on past due transactions.
Qualifications:
•Strong proficiency with Microsoft Dynamics ERP system
•Demonstrated ability to manage complex administrative processes and improve operational efficiency
•Excellent organizational skills with attention to detail
•Strong verbal and written communication skills
•Experience in the fire safety, security systems, or related technical service industry preferred
•Knowledge of invoicing and accounts receivable processes
•Ability to analyze data and produce actionable insights
•Problem-solving skills with a proactive approach to issue resolution
•Familiarity with industry regulations and compliance requirements preferred
•NICET certification a plus
