We are looking for a talented Record Analyst to join our team. Reporting to the Legal Manager, Access, Privacy and Records Management, is responsible for administering critical records management activities of paper and electronic records and applying retention and disposition schedules in accordance with established policies.

This includes, but is not limited to, lifecycle management of records; electronic records management system (ERMS) administration; content assessment; engaging and advising stakeholders on the records management lifecycle and classifications; assessing processes; education and training; facilitation of records keeping; and the classification of records.

This position works collaboratively with Legal Services, Information Technology, Corporate Security and Facilities Management to ensure records/information assets are managed in a manner that reflects accountability, legislative compliance, privacy, practical use, and adequate security.

Accountabilities include but are not limited to:

Application of day-to-day records activities within the ERMS.
Support ERMS sustainment in the integration of electronic information management tools and functionality to ensure records considerations are adequately addressed and incorporated into information management technology solutions.
Support the ongoing development of IM best practices, including the development of Business Rules, Processes, Standards and Training to facilitate the establishment and encouragement of a recordkeeping culture across the AESO and to ease the transition to full electronic recordkeeping.
Engaging and providing training support to users in quality of documentation, creation and overall management of AESO records.
Support the Records and Information Analyst in conducting records and content analysis review with departments.
Acting as the offsite storage administrator.
Assist in the development and assessment of front-line procedures and practices, identifying opportunities to optimize and/or improve current state.
Processing and scanning paper records for storage in electronic repositories.
Support the development of training tools and other learning resources to ensure AESO personnel are knowledgeable about current records management principles and requirements, and that they receive records management guidance appropriate to their needs.


What you’ll bring to us:

Records Management Certificate or Diploma (or equivalent).
Post-Secondary Diploma or Degree (or working towards accreditation) in a related area (Records Management, Information Management, Information Technology, Library Sciences) is desirable.
Minimum of 2 years in a related role, ideally within a public sector or arm’s length organization where the Records Management Regulation and Freedom of Information and Protection of Privacy Act* would be applicable.
Strong understanding of records lifecycle management.
Demonstrated knowledge of the functions and applications of Enterprise Content Management (ECM) systems.
Understanding of SharePoint Online and its application in records management.
Public sector records terminology.
Familiarity with the application of functional classification schemes and retention and disposition schedules.
Understanding of Generally Accepted Records Management Principles (“Principles”).
General knowledge of Records Management Regulation Requirements (RMR).
Process assessment and development.
Awareness of appropriate provincial, national and international professional records/information management standards is expected.
