The Project Coordinator provides independent project coordination support with responsibility for managing assigned work packages, ensuring documentation accuracy, and proactively tracking deliverables. This role works closely with Project Managers, engineers, procurement, and production to maintain schedule integrity, budget accuracy, and communication flow across departments. The PC is expected to manage multiple concurrent assignments, anticipate potential delays or issues, and coordinate solutions in collaboration with the Project Manager.
Requirements Task & Schedule Management
- Develop and maintain work package schedules in collaboration with the PM.
- Track progress against baseline plans, flag deviations, and initiate corrective action discussions.
- Coordinate schedule updates between engineering, procurement, production, and field teams.
- Maintain complete, current records for action items, risks, and lessons learned across multiple projects.
- Review documentation for accuracy, completeness, and compliance before distribution.
- Control revisions of drawings, specifications, and change requests to ensure only approved versions are in use.
- Schedule and lead coordination meetings for assigned work packages or project segments.
- Prepare agendas, distribute pre-read materials, and track agreed actions through to completion.
- Consolidate updates from multiple departments for inclusion in PM and client reports.
- Monitor actual costs against budgets at the work package level.
- Work with procurement to track order status, expedite critical deliveries, and resolve vendor issues.
- Assist in preparing budget updates and variance explanations for PM review.
- Monitor open issues and risks, tracking mitigation progress.
- Proactively identify coordination gaps and propose solutions.
- Support PM in preparing escalation summaries for leadership review.
- Compile consolidated project status updates for PM and stakeholder review.
- Respond to internal requests for information related to assigned project areas.
- Support client communication by preparing draft updates and documentation.
- Oversee the collection of all required documentation for assigned work packages.
- Ensure lessons learned are documented and integrated into the company’s knowledge base.
- Verify proper archiving of all records in accordance with company policy.
- Strong proficiency in Microsoft Office Suite, Teams, Project, and Outlook.
- Ability to manage multiple work packages or small projects.
- Intermediate-level skills in scheduling software (e.g., MS Project).
- Ability to analyze and interpret project data to support decision-making.
- Effective meeting facilitation and follow-up skills.
- Strong organizational ability and attention to detail across multiple simultaneous assignments.
- Ability to work under pressure and maintain focus on priorities.
- Professional communication skills with internal and external stakeholders.
- 3–5 years of project coordination experience in an industrial, construction, or manufacturing environment.
- Associate’s or Bachelor’s degree in business, administration, engineering, project management, or related field.
- Relevant coordination, planning, or project management training or certification preferred.
- Prolonged periods sitting at a desk and working on a computer.
- Must be able to lift up to 25 pounds at times.
