Job Objective
: Responsible for the daily operations that support branch and corporate goals while satisfying the needs of the customer in an efficient and courteous manner.
Essential Duties and Responsibilities:
In addition to the essential job functions described below, all associates will perform duties requested by management. Assigned responsibilities and duties may vary based upon location size and operation.
Human Resource Management
- Develop a productive team by hiring, training, and providing professional development
- Provide communication and motivational techniques in supervising, coaching, and disciplining associates
- Actively participate in the training of all associates on relevant areas
- Conduct annual performance evaluations for direct reports
- Support and enforce corporate policies and initiatives
- Develop and maintain customer relationships
- Address and resolve customer complaints in a timely manner
- Assist management in developing and communicating overall sales and market strategy
- Develop and maintain relationships with key vendors
- Identify new product and business opportunities based on customer needs on an ongoing basis
- Integrate and prioritize corporate programs and initiatives into branch operations
- Collaborate with Controller, General Manager & Sales Manager on Annual EBITDA Budget, with specific emphasis on providing reporting & guidance toward developing the gross profit section of the annual budget
- Responsible for managing the branch gross profit and margins on fuel & lubricants
- Provide assistance/input for tuck-in acquisitions and internal branch realignments
- Ensure all daily branch processes are handled accurately & timely
- Review, correct & approve invoice gross profit batch previews for fuel & lubricants
- Review and manage inventory adjustments
- Responsible for overseeing & managing the branch repackaging process
- Ensure open sales orders are processed timely, holding customer service accountable throughout the month
- Responsible for timely closeout at month end of open sales orders and purchase orders
- Review vendor negative balances and old items on monthly statements
- Review Branch Performance daily to ensure gross profit & margins are tracking to budget
- Facilitate the approval of customer credit memos where warranted
- Analyze branch trends to identify variations in branch performance and develop needed action steps
- Responsible for managing daily fuel pricing, including but not limited to, maintaining fuel price tables in DM2, sending out daily pricing to sales associates and customers
- Collaborates with Sales Manager daily on setting customer lubricant prices
- Responsible for maintaining lubricant prices & rebates in the system, this includes but is not limited to, setting customer specific prices in DM2, requesting item rebates from vendors & setting in DM2
- Manages the process, data, and import implementation during overall market price changes to ensure that customer pricing & vendor cost changes are implemented timely and accurately in DM2
- Maintain relations between warehouse, sales, and back-office staff, ensuring all functions communicate effectively and the business is running efficiently
- Help facilitate branch compliance with budget and key performance indicators (KPIs) as developed and directed by the General Manager and Branch Management. This includes but is not limited to, lubricant and fuel monthly gross profit, lubricant and fuel margins, and branch labor as a percentage of gross profit.
- Supervises the Branch Purchasing Agent (where applicable)
- Investigate & resolve negative item report daily
- Review Slow Moving Inventory monthly, work with both sales and warehouse to facilitate movement of inventory currently on reserve via customer sales, repurposing, disposal, or intercompany sales.
- Act as liaison between Branch Purchasing Agent and Vendors and/or the Support Center for specific product needs and potential product shortages where necessary
- Manage a monthly cycle counting process that includes bulk and packaged product
- Supervise and prepare for all complete physical inventories, including an annual audited physical inventory at calendar year end, as well as a minimum of 1-2 additional physical inventories throughout the year which are not audited
- Supervise Warehouse Manager
- Manage and audit warehouse processes
- Manage the creation and maintenance of a rack/row/bin location system in the warehouse and bulk tank farm
- Accountable for ensuring branch maintains inventory levels & non-fuel days in inventory (DII) within corporate goals
- Assist in other areas of location as needed
- Communicate openly and effectively with other associates to provide them with information
- Represent the company in a professional manner at all times ensuring quality customer service
- Abide by and enforce all policies, rules, and regulations of the company including all applicable safety rules, regulations and procedures
- Support corporate programs, goals, and initiatives of the company
- Work overtime as needed
- Maintain communication with associates regarding budget and other important company information during monthly meetings
