SES AI seeks a highly organized and proactive Office Assistant who excels in a dynamic, multitasking environment and will be the operational backbone of our team. This pivotal role is perfect for a self-starter who thrives on creating structure, developing efficient processes, and ensuring day-to-day operations run smoothly. In addition to core office functions, you will provide comprehensive and versatile support to the CEO Office across key strategic areas, including crucial administrative coordination, HR project assistance, and marketing-related initiatives.
- Warmly greet and direct guests and visitors.
- Ensure a consistently organized, efficient, and professional office environment.
- Proactively manage all office supplies, equipment inventory, incoming/outgoing shipments, and maintain positive vendor relationships.
- Coordinate meeting room reservations, manage visitor check-in processes, and ensure secure office access procedures (e.g., visitor badge issuance/collection) are strictly followed.
- Provide logistical support for internal meetings, onsite events, and team activities, including managing catering arrangements.
- Troubleshoot basic office or facilities issues and effectively escalate complex problems to the appropriate party.
- Assist the Business Administrative Manager with diverse administrative tasks, including the planning and execution of PR events, company showcases, and community engagement activities.
- Provide logistical support for convention and conference participation, including coordinating booth preparation, materials packing, and setup/teardown coordination.
- Deliver general administrative support to the CEO Office and manage special projects as assigned.
- A degree in business administration, Communications, or a related field is preferred, or equivalent practical experience demonstrating necessary skills.
- Professional Experience: A minimum of one year (1+ years) of proven experience in office operations, marketing events coordination, or a similar administrative role is required.- Organizational Excellence: Demonstrated strong organizational skills and exceptional attention to detail.
- Communication: Excellent verbal and written communication skills for effective internal and external interaction.
- Adaptability: Proven ability to manage and prioritize multiple tasks comfortably in a fast-paced, dynamic environment.
- Technical Proficiency: Familiarity with and working knowledge of Microsoft Office Suite tools (including Excel, Word, PowerPoint, and SharePoint).
