The Field Service Administration Supervisor will supervise the Service administrative staff to ensure that Company processes are handled accurately and to efficiently track repair work in the client districts. This position oversees various portions of the Safety, Fleet, and Inventory programs as they relate to the Service Department and provides administrative support to Field Service & Construction Management. This position reports to the Assistant V.P of Telge Services
· Supervise Field Service Administration Staff at our Telge office and Kemah Office
· Research and provide information to managers, supervisors, co-workers, and staff
· Develop strong working relationships with Field Supervisors, Contract Managers, and other departments to deliver the best quality service to our client districts, builders and the consultant community.
· Ensure effective data management through use of various spreadsheets to update excel spreadsheets with weekly numbers for Service personnel to:
o ensure timely closure of the weekly work orders and purchase orders
· Analyze and evaluate information to choose the best result for the best solution and solve problems
· Perform word processing of letters, memos, reports, and general business correspondence
· Process invoices, Purchase Orders, and close out work orders for department
· Manage office and field department supply needs.
· Act as the primary contact for Field Service Administration when communicating with persons outside of the Company with related Vendors, Customers, Contractors
· Create and manage the after hours and on-call work schedules
· Act as second level support for discrepancies and issues as identified
· Monitor the need for additional staffing or resources using system reports to track work order completion
· Review and lock service orders (does not include Operations or Inspections service orders)
· Provide customer support through telephone and walk in interactions.
· Keep the Service Department documents for safety meetings
· Assist supervisors as needed to complete the bi-weekly time sheet audits for employees
Ability to learn and effectively navigate the software used to track service orders
Ability to select, train, supervise, coordinate and evaluate work of the staff
Ability to plan, coordinate, and administer Field Service projects
Ability to exercise independent judgement and initiative within established guidelines
Ability to multi-task, stay organized and be detail oriented while working to successfully meet deadlines
Must be proficient in the Microsoft Office programs: Word, Excel, and Outlook
