JOB SUMMARY

The Facilities Project Manager is responsible for overseeing and managing facility-related projects from initiation to completion. This includes planning, budgeting, coordinating resources, and ensuring that all projects are completed on time, within scope, and on budget. The role involves collaborating with various internal stakeholders, contractors, and vendors to ensure the facilities meet the operational needs of the organization.


ESSENTIAL JOB FUNCTIONS:


Project Planning and Coordination:

Lead and manage facilities-related construction, renovation, and maintenance projects.
Develop project scopes, objectives, detailed work plans, perform constructability reviews.
Define project requirements, budgets, schedules, and timelines.

· Oversee the document control and administrative requirements on the project to assure adequate documentation and proper approvals are achieved in a timely manner to not hinder progress in the field. This includes processes for submittals, RFIs, ASIs, updating project documents, meeting minutes, daily reporting, photo documentation, etc.

Ensure all projects align with organizational goals, safety standards, and regulatory requirements.


Budget Management:

Create detailed project budgets and cost estimates.
Track and manage expenditures, ensuring projects stay within budget.
Conduct cost analysis and provide cost-saving recommendations.


Vendor and Contractor Management:

Source and negotiate with external vendors, contractors, and suppliers.
Ensure contractors comply with safety standards, building codes, and contract terms.
Supervise and monitor contractor work, ensuring it meets quality standards and project deadlines.
Collaborate with architects and engineers to develop specifications and plans for facility renovations, new facilities, and other asset related maintenance.


Team Leadership and Collaboration:

Coordinate with internal teams such as maintenance, engineering, and operations.
Communicate project progress to senior management and stakeholders.
Lead project teams, providing guidance and support throughout the project lifecycle.


Risk Management and Problem-Solving:

Identify potential risks and develop mitigation plans.
Address project challenges and resolve issues as they arise, ensuring minimal disruption to operations.
Ensure compliance with legal, safety, and environmental standards.


Facility Maintenance and Upgrades:

Manage the upgrade and maintenance of building systems, equipment, and infrastructure.
Conduct regular assessments to identify opportunities for facility improvements and cost efficiencies.


Reporting and Documentation:

Maintain project documentation, including plans, contracts, and permits.
Prepare regular reports on project status, risks, milestones, and budget performance.
Ensure all project-related documentation is completed and archived.


Post-Project Evaluation:

Conduct post-project evaluations to assess the success of the project.
Implement lessons learned to improve future project processes.


WORKING CONDITIONS:

Generally, work 40 hours a week in both office and field environments. Requires visits to remote sites and other locations in all weather conditions and during all hours. Work done in the office is mostly sedentary, using a computer for most hours worked. Site visits often require standing and walking on varying surfaces/terrains, at times in adverse weather conditions.


MINIMUM QUALIFICATIONS:

Bachelor’s degree in Facilities Management, Construction Management, Engineering, Architecture, or a related field; and

Five (5) years of experience in facilities management, project management, or related fields; and

Experience with CMAR and/or Design/Build delivery methods: and


valid driver’s license.
