About This Job

Primary Purpose: This position provides coordination of general budgeting and administration support to the director and assigned Transmix locations with particular emphasis on accounts payable processes (budgeted versus actual expenditures), forecasting and reporting.

- Performs accurate and timely processing of invoices for payment for assigned Transmix locations (5) that is compliant with Kinder Morgan policies and procedures including but not limited to invoice processing, expenses, purchasing, budgeting, vendor creation, etc.

- Coordinates new vendor setup, RFS/RFM submittal, purchase order requests, AFE creation, maintains agreements for services and assists with research for new sources with field locations.

- Prepares and reviews operating expense forecasts, journal entries for capital and operating expense accruals, cost tracking reports, and assist field with expense processing.

- Performs variance analysis budget versus actuals, reconciles P-card purchases, reviews and corrects entries

- Researches and analyzes invoices or other charges, makes recommendations and resolves discrepancies with vendors.

- Coordinates budget and spending for projects as assigned, prepares cost projections, processes and analyzes bids and purchases, requests job numbers/PRNs, reviews cash flow, prepares reports.

- Assists with budgeting, cost projections and bid analysis.

- Coordinates and implements best purchasing/pricing practices.

- Trains others in procurement and expense processes, tracks training.

- Assists with staff changes, office moves, events and meetings.

- Assists with fleet management and mobile communications for field locations.

- Actively participates in safety programs and initiatives.

- Makes recommendations for continuous improvement.

- Performs other duties as assigned.


Position Requirements


Minimum requirements:


Education:

- High school diploma or equivalent preferred.

- College degree preferred, but not required.


Experience / specific knowledge:

- Minimum 3 years general administrative, accounting or equivalent experience with solid knowledge of general office procedures, including record maintenance systems, budgeting and purchasing.

- Excellent PC skills, proficiency in Microsoft Office applications, including extensive use of Excel.


Certifications, licenses, registrations:

- A satisfactory driving record as determined by the Company and current, valid State driver’s license are required.


Competencies, skills, and abilities:

- Effective oral and written communication skills with internal departments, vendors and customers.

- Proficiency with computer applications, including Microsoft Excel, Word, and Outlook.

- Must be a detail-oriented professional, effective at prioritizing and planning multiple tasks.

- Must be proactive, exercise good judgment and resolve issues.

- Must be flexible and able to work effectively in a team environment and consistently maintain a professional and respectful demeanor/attitude with co-workers, clients, vendors, and regulatory agencies.

- Must be dependable, maintain confidentiality and work cooperatively with others.

- Must be able to successfully perform multiple tasks simultaneously, work within strict and changing deadlines while maintaining high quality of work product.

- Must be a problem solver with the ability to find resolutions.

- Must be able to work well in a team and/or with limited supervision, take direction, adhere to required work schedules, focus attention on details and follow work rules.


Physical demands:

- Normal bending, stooping, and twisting in an office environment.


Working conditions:

- Occasional overtime and extended work hours during high volume periods including but not limited to month/quarter/year end close, in cases of emergencies or business needs.

- May be required to work alone and independently.


Supervisory responsibility:


- None
