Summary of Position
The Contracts Administrative Assistant will perform a myriad of administrative tasks needed within the Contracts Department. This position will also be responsible for managing the Purchase Order SharePoint Site, Contractor Licenses, and assisting with pre-qualification and vendor forms, as needed.
Essential Job Requirements:
•Purchase Order Site Management
+ Receive high volume Purchase orders
+ Log and assign Purchase Orders, Changes Orders, Purchase Order revisions
+ Monitor the approvals of the Purchase Order
+ Progress the Purchase Orders through the correct process
+ Review contractual documents from customers
+ Verify all information and documentation needed is collected and required approvals have been received.
+ Manage license log to ensure all current licenses remain active.
+ Submit documentation for renewals.
+ Complete applications for new licenses
•Submit documents via DocuSign for signature/execution as requested.
•Complete PQF and vendor requests from customers.
•Provide administrative support as needed.
•Other related duties as assigned.
Education
•High school diploma or equivalent required
•Bachelor’s degree preferred
Experience
•Oil and gas industry experience preferred.
•Purchase Order or Procurement experience.
•A minimum of 5 years professional office experience.
Skills
•Must be able to communicate effectively with internal and external customers.
•Must be highly motivated and organized and posses excellent ability to multi-task.
•Must be reliable and extremely trustworthy.
•Must be proficient in Microsoft Office Suite or related programs.
•Excellent organizational skills and attention to detail.
•Ability to maintain confidential and meticulous records
Physical Requirements
•Must be able to sit for long periods of time.
•Must be able to lift more than 30 pounds.
•Use repetitive hand motions.
•Prolonged use of the computer.
•Steady phone and email interactions.
•Requires considerable concentration and focus with a constant workload.
•Above average concentration/intensity, which includes prolong mental effort.

•Microsoft Office (Outlook, Word, Excel, Viewpoint and SharePoint).
•Computer, telephone, copier, scanner, and printer.
