Overview
Construction Management is seeking a motivated and articulate professional to join the Construction Street Operations team as an Associate Specialist. The ideal candidate will be self-driven, resourceful, and demonstrate strong leadership and sound judgment in technical decision-making. Responsibilities
Core Responsibilities
•VIOLATION MONITORING: Monitor and research Notices of Violation (NOV) and Corrective Action Requests (CAR) issued by the NYC DOT.
•SUMMONS SYSTEM KNOWLEDGE: Maintain working knowledge of the NOV process and the Summons System.
•PERMIT MANAGEMENT: Order NYC DOT permits and track work progress in Con Edisons Work Management Systems (e.g., Maximo, Electric and Gas WMS).
•FIELD OPERATIONS SUPPORT: Dispatch work assignments to field forces and assist in preparing training and business presentation materials
•APPLICATION UTILIZATION: Monitor and utilize the paving applications and Summons System, including the NYCStreets application.
•ENVIRONMENTAL COMPLIANCE: Ensure compliance with safe work practices and environmental protection policies in accordance with Company and regulatory standards.
•CONTRACTOR DOCUMENTATION: Request and collect documentation from contractors to support Unit Price Contract payments.
•PAYMENT FOLDER VERIFICATION: Verify that all required documents (e.g., paperwork, photographs) are included in payment folders prior to submission to Chief Construction Inspectors (CCI).
•PAYMENT TRACKING: Manage payment folders from initial submission through final payment and filing.
•CLAIMS RESOLUTION: Assist in resolving contractor exceptions or claims related to proposed payments.
•PERFORMANCE SUPPORT: Support departmental goals and Key Performance Indicators (KPIs).
•FINANCIAL TASKS: Perform invoice and receipting tasks in Oracle and take on additional assignments as needed to support departmental operations.
Qualifications
Required Education/Experience
•High School Diploma/GED 5 years Experience in office management, utilization of spreadsheets and databases to track and monitor work queues; interfacing with customers and/or contractors, filing, setting-up and following-up with appointments along with updating financial records
•Associate's Degree 4 years Experience in office management, utilization of spreadsheets and databases to track and monitor work queues; interfacing with customers and/or contractors, filing, setting-up and following-up with appointments along with updating financial records
•Bachelor's Degree 2 years Experience in office management, utilization of spreadsheets and databases to track and monitor work queues; interfacing with customers and/or contractors, filing, setting-up and following-up with appointments along with updating financial records
Relevant Work Experience
•Depending on education, 2-5 years of relevant work experience. Required
•Demonstrated experience working with Microsoft Office software applications (Access, Excel, Word, Outlook, PowerPoint) and demonstrated experience managing multiple assignments. Required
•Experience in office management, utilization of spreadsheets and databases to track and monitor work queues; interfacing with customers and/or contractors, filing, setting-up and following-up with appointments along with updating financial records. Required
•Experience working with Customer Relationship Management Software Applications Preferred
•Working knowledge company work management systems and mapping applications is preferred. Preferred
•Experience in interpreting contract pay items and standard terms and conditions of construction contracts is preferred. Preferred
•Knowledge of Oracle EBS or other payment, invoicing system applications Preferred
Licenses and Certifications
•Driver's License Required

•Ability to push, pull, and lift up to 40 pounds
•Sit or stand to answer a phone for the duration of the workday
•Sit or stand to use a keyboard, mouse, and computer for the duration of the workday
•Possess manual dexterity and the ability to use hands for the duration of the workday
•Ability to stoop, bend, reach, and kneel throughout the workday
•Stand to use/operate office equipment for the duration of the workday
Additional Physical Demands
•The selected candidate will be assigned a System Emergency Assignment (i.e., an emergency response role) and will be expected to work non-business hours during emergencies, which may include nights, weekends, and holidays.
