Job Title: Administrative Assistant – Real Estate & Family Office Support

Position Overview:
We are seeking a highly organized, proactive, and detail-oriented Administrative Assistant to support the daily operations of a local real estate company and assist with personal and administrative tasks in a family office setting. This mostly remote position is ideal for a resourceful and tech-savvy individual who thrives in a dynamic, laid back yet driven environment and can manage multiple priorities with confidentiality and professionalism.
Key Responsibilities:
Real Estate Administrative Support (60%):
•Prepare, organize, and maintain contracts, lease agreements, vendor files, and related documentation
•Coordinate scheduling for property-related appointments, inspections, closings, and team meetings
•Maintain and update internal databases, cloud-based filing systems, and CRM platforms
•Assist with creating and managing listings, descriptions, and promotional materials for short-term rentals on platforms like Airbnb, Vrbo, and direct booking sites
•Track timelines, deadlines, and follow-ups for active real estate projects and property management tasks
•Communicate with tenants, service providers, contractors, insurance agents, and lenders professionally and promptly
•Compile reports on property income/expenses, maintenance records, and occupancy trends as well as other financial analysis skills
Family Office Administrative Support (40%):
•Provide personal administrative assistance to the principals, including calendar management, appointment setting, and occasional travel coordination
•Organize household service providers, vendor scheduling, and follow-ups for multiple properties
•Support bookkeeping-related tasks such as collecting receipts, scanning invoices, and tracking expenses
•Assist with special projects such as charitable giving initiatives, small event planning, or document organization for family trusts or legal matters
•Handle all sensitive information with absolute discretion and integrity
Qualifications:
•3+ years of administrative or executive assistant experience (real estate or property-related preferred)
•Highly proficient with Microsoft Office, Google Workspace, cloud storage, and digital tools like DocuSign, QuickBooks, Adobe, Canva and CRM systems
•Excellent organizational and time management skills with strong attention to detail
•Effective written and verbal communication skills
•Ability to work independently, manage shifting priorities, and solve problems proactively
•Comfortable handling both business and personal support tasks in a remote setting
•Must be willing to sign a Non Disclosure Agreement in order to protect personal information
•Must be able to pass background check
Preferred Qualifications:
•Experience in real estate, short-term rental management, or supporting high-net-worth individuals
•Familiarity with platforms like Airbnb, Vrbo, and basic property financials
•Notary Public or willingness to obtain (optional)
