Duckett Creek Sanitary District is now accepting applications for the position of Utility Billing Specialist.
This position coordinates monthly billing processes to ensure the accurate and timely generation of utility bills and related mailings for residential and commercial customers. Assists customers with billing inquiries and resolves issues related to customer accounts.
- Manage monthly customer billing processes, including entering and reviewing meter readings, editing billing data, generating billing notices, and submitting electronic billing files to third-party vendor.
- Execute tasks within the billing cycle to ensure timely submission and adherence to monthly deadlines.
- Create new residential and commercial accounts; update account status and details for name, address, and occupancy changes.
- Evaluate accounts and calculate billing adjustments for review and approval.
- Coordinate with water companies to retrieve accurate usage data and download readings into the billing system.
- Conduct investigations using water company cross-references and process returned or inactive accounts to identify and correct billing discrepancies, ensuring the accuracy and integrity of customer account records and database entries.
- Respond to customer service inquiries regarding billing problems, payment arrangements, service connections, and disconnections.
- Process recurring bank drafts for customer payments.
- Calculate and prepare account adjustments for review and approval.
- Adjust accounts for returned (NSF) checks and notify customers accordingly.
- Answer telephone calls, route incoming calls, and take messages as needed.
- Assist customers with account and billing inquiries.
- Process and post receipts to customer accounts; prepare receipts for bank deposits.
- Provide support to other customer service staff as needed.
KNOWLEDGE, SKILLS and ABILITIES which may be representative but not all inclusive of those commonly associated with this position: Knowledge of utility billing procedures, with or without consumption readings. Familiarity with standard customer account collection procedures. Strong organizational and scheduling skills. Accurate typing and data entry capabilities. Ability to maintain complex files, produce reports, and respond to inquiries using file data. Ability to remain calm and professional when working under pressure or interacting with the public. Effective verbal and written communication skills with supervisors, coworkers, and customers. Ability to manage multiple tasks and prioritize workload effectively. Analytical thinking and the ability to interpret varied data sets and apply common-sense solutions. Ability to work independently within established guidelines, referring complex issues to a supervisor. Proficiency in using networked, district-issued computer systems and software tools for billing and data management.
EDUCATION, QUALIFICATIONS and EXPERIENCE REQUIRED An equivalent combination of education, training and experience will be considered: High school diploma or equivalent required. Minimum 3-5 years of utility billing or directly related experience required. Minimum 2 years customer service experience required.
