About This Job

The Transport and Facilities Manager is responsible for managing many aspects of our office facility and car fleet program. This role assists with basic facility maintenance, manages mailroom activities, and ensures vehicles are safe, clean and able to deliver an exceptional experience for our employees. The Manager serves as a key member of our executive support team, providing outstanding customer service to our C-suite executives, helping to drive business success and ensure seamless day-to-day operations. This position is based in Waltham, MA.

“Gauges” of Responsibility

Process, distribute, and pick up mail for departments in a timely and efficient manner
Operate mail inserting machines, perform preventative maintenance and corrective adjustments
Assist in maintaining the mailroom inventory systems and purchases of supplies and necessary equipment
Support remote employees by researching, locating, shipping, moving, etc., items (desks, FedEx packages, vehicles, etc.) for their group or themselves
Manage the off-site storage for certain departments
Receives outgoing mail and applies correct postage and maintains postage records
Maintains and updates filing, inventory, mailing, and database systems
Ensures the office is adequately stocked with mail supplies
Assists with physical office moves
Assemble, take down, and move installation racking, cubicles, desks, etc, as needed
Collaborate with team members to complete projects efficiently while adhering to timelines
Occasional on-call duties

Qualifications

Two (2) years of work experience performing general building or facility repairs and maintenance.
Building or facility repairs and maintenance experience in a commercial setting, preferred.
Proficient in handling various tasks and setting priorities independently.
Ability to lift/move heavy objects.
Must have a valid driver's license and maintain an excellent motor vehicle driving record.
Knowledge of, the ability to use, and possession of standard hand tools, power tools, and equipment needed to perform basic building repair and maintenance tasks.
Proven customer service skills, along with both oral and written communication skills.
Ability to effectively work with employees at all levels within the organization and vendors.
Must be able to work shifts or flexible work schedules as needed.
Demonstrated competency in basic computer skills, including proficiency in MS Office Suite (Excel and Word)
Ability to maintain an accurate and updated list of records for an organization.
