SUMMARY OF RESPONSIBILITIES: This class is responsible for planning and coordinating activities toward the efficient and effective operation of PWC’s Supply Chain relative to the operations of the Public Works Commission. Responsibilities include but are not limited to, assisting the Director of Supply Chain, Procurement Manager, Economic Inclusion Program Manager and Warehouse Supervisor in a variety of administrative and support duties such as coordinating activities, preparing complex documents, and conference or meeting planning; preparing budget data for the procurement and warehouse areas; mastery of a variety of specialized software programs unique to the Supply Chain operation; preparing checkouts; responsible for all aspects of the Fastenal vending program to include, access, resolving discrepancies and reporting ; entering all purchase orders and requisitions for various warehouse and procurement budgets; prepare non-PO UPS bills for payment, processing of non-inventory and inventory PO receipting for related invoices and expenses; processing wire sheets and copper sheet transactions, maintaining logs/files/reports and compiles the warehouse operating report. This position operates under general supervision of the Director of Supply Chain. Work is performed in accordance with established policies and procedures and requires independent judgment in carrying out the details of the work. Performs related work as required.
FULL PERFORMANCE KNOWLEDGE, SKILLS, AND ABILITIES: Thorough knowledge of safety rules/regulations/ procedures; thorough knowledge of budgeting and purchasing processes; skill in operating /using personal computers/applicable software, including Microsoft Office Suite; excellent verbal and written communication skills; ability to organize/prioritize work; ability to prepare and submit accurate reports/records; ability to make decisions within scope of responsibility; ability to develop and maintain effective working relationships with all levels of employees, vendors, contractors, , customers, officials, and the general public.
(A) Graduation from an accredited two (2) year community college or university with a certificate/diploma program in Business Administration, Office Technology, Secretarial Science or other related field and two (2) years’ experience in an administrative role, preferable in Construction OR
(B) Graduation from high school or possession of a high school equivalency diploma and a minimum of six (6) years of progressively responsible experience as defined in (A) above; OR
(C) An equivalent combination of education, training, and experience as defined in (A) and (B) above.
SPECIAL REQUIREMENTS: Must possess/maintain a valid North Carolina Driver’s License.
PHYSICAL REQUIREMENTS : Must be able to perform the essential functions of the position.
PROTECTIVE EQUIPMENT: As required in the Public Works Commission’s Safety Manual.
