Axia and Qcells Energy Solutions are seeking an Order Management Specialist to monitor and control projects through administrative and specialized expertise with the Energy Solutions division. You will be responsible for working within and leading support teams in coordination with the Project Coordinators and Sales Managers. Major responsibilities include verification of completed contracts from sales, input and management of required contractual documents into the Operations Lifecycle Platform, compliance with third party finance company funding requirements, and issuing timely and accurate payments to third party fulfillment vendors. This is a key position with the responsibility for building and scaling the solar support operations to match the growth of the business. The ideal candidate is an experienced professional with strong analytical skills, great attention to detail, and problem solving and communication skills.
This position will be based out of the office in Irvine, CA, with an in-office schedule set at the direct manager’s discretion in accordance with the company policies and procedures. Remote work may be considered for exceptional cases.
- Verify that all sales contracts are fully complete and accurate prior to releasing them to operations.
- Resolve paperwork deficiencies and stipulations with stakeholders to ensure solar contracts are properly managed.
- Navigate lender financing portals to secure approval for contract financing before equipment orders are placed.
- Issue and authorize work orders to third-party fulfillment vendors, ensuring accurate services and timely payments.
- Approve installer invoices through a thorough QA process to confirm project completion and adherence to scope of work.
- Identify and implement continuous improvement opportunities across processes.
- Review operational procedures to ensure alignment with industry best practices.
- Track and analyze team performance to reduce cycle times and improve efficiency.
- Maintain accurate records in the CRM, fulfillment portal, financier portals, and other business systems.
- Support the transition from Sunbase CRM to Salesforce for all order management functions.- Bachelor’s degree in Business or a related field, with 5+ years of experience in operations management and analytics, including at least 1 year in the solar industry.
- Minimum of 1 year of hands-on experience with Salesforce and other CRM systems.
- Proven ability to apply strong organizational, problem-solving, and analytical skills.
- Exceptional verbal and written communication skills, with experience presenting in both internal and external settings.
