About This Job

The Senior Event Manager is the operational architect behind Omya’s experiential ecosystem.

You will:

- Build the event operating system for the entire organization

- Lead multi-team coordination across the ranch, hospitality, programming, and marketing

- Direct on-site operations for emotionally charged, high-end, multi-day containers

- Create spaces that feel grounded, safe, intentional, and unforgettable

- Ensure the vision translates into flawless participant journeys

Omya moves quickly, holds high standards, and creates experiences people remember for the rest of their lives. You will be the leader who ensures every event reflects that.

- Operators who anticipate needs before anyone asks

- People who can run complex, high-touch experiences with calm excellence

- Systems thinkers who love creating structure, flow, and repeatability

- Individuals who thrive in rural, global, and fast-moving environments

- High-agency leaders who don’t wait for instructions

Who This Role Is Not For

- Planners who only operate from checklists and can’t read a room

- Anyone seeking predictable 9–5 work

- Those who struggle with emotional or energetic intensity

Key Responsibilities

1. Experiential Architecture & Retreat Design

- Translate high-level vision into end-to-end experience design, flow, and container architecture

- Craft participant journeys that integrate environment, pacing, emotional safety, and sensory detail

- Shape the energy of every space—lighting, sound, movement, program flow, transitions, and decompression

- Build repeatable experiential templates while maintaining Omya’s creative magic

2. Portfolio & Operational Leadership

- Own the annual event calendar across ranch, global, and pop up/push trip experiences

- Build and manage the systems that enable Omya to scale our event and experiences

- Run planning cycles, cross-team standups, and event readiness meetings

- Align hospitality, ranch ops, programming, marketing, and production around shared timelines

3. Vendor, Budget, & Contract Mastery

- Own event budgets, forecasting, and financial stewardship

- Negotiate high-impact vendor contracts and build long-term strategic relationships

- Ensure every external partner meets Omya’s standards of excellence, presence, and professionalism

4. On-Site Command & Presence

- Serve as the on-site leader for multi-day retreats and immersive experiences

- Direct staff and vendors with clarity, composure, and grounded authority

- Troubleshoot in real time, anticipate needs, and maintain emotional steadiness under pressure

- Protect the energetic and emotional integrity of the container at all times

5. Systems, SOPs & Continuous Improvement

- Create playbooks, checklists, communication tools, and scalable operating systems

- Lead post-event reviews and implement improvements across all experiences

- Optimize workflows across teams, increasing efficiency and decreasing operational friction

6. Safety, Risk & Compliance Leadership

- Oversee complex safety planning, environmental considerations, and emergency protocols

- Partner with ranch operations and facilitators to ensure participant well-being

- Maintain high standards of risk mitigation for environments that are rural, global, and emotionally intensive

What Success Looks Like

- Experiences executed at 95%+ participant satisfaction

- Event portfolio delivered on time and under budget

- Playbooks and SOPs fully implemented across teams

- Vendor performance consistently exceeding expectations

- Reduction in event-day issues and logistical issues year over year

- Omya’s experiential quality increasing as volume scales

Required Qualifications

- Proven experience managing complex logistics across locations, teams, and modalities

- Deep ability to stay calm, grounded, and solution-oriented under pressure

- Strong negotiation, budgeting, and vendor leadership skills

- Exceptional communication—clear, direct, calm, and proactive

- Comfortable working in rural environments, outdoors, and in emotionally charged spaces

- Proficiency in event/project management platforms

- Able to travel 35–45% of the year, including weekends during retreat cycles

Travel & Work Environment

- 35–40% travel required for retreats, site visits, team coordination, and onsite execution.

- Frequent multi-day travel to ranch and rural retreat locations.

- Evenings and weekends required during retreat cycles.

Physical Requirements

- Lift 20–40 lbs and work long hours during retreat weeks.
