Job Title: Reporting and Compliance Supervisor

Pay Range: $80,000 - $95,000
Position Summary
We are seeking a proactive, detail-driven Reporting and Compliance Supervisor to lead our compliance operations and ensure organizational adherence to federal, state, and local regulations. This position plays a vital role in maintaining operational integrity through accurate regulatory reporting, internal audit oversight, licensing management, IT coordination, and strategic compliance planning. The ideal candidate demonstrates strong leadership skills, exceptional organizational abilities, and a commitment to continuous improvement and regulatory excellence.
Key Responsibilities
Tactical (Day-to-Day) Responsibilities
•Accident & Incident Reporting: Manage documentation and coordination of insurance claims, police reports, and internal follow-ups.
•Mail and Records Oversight: Supervise document intake, distribution, and secure archival in line with company policy.
•Audit Support (External & Internal): Serve as the lead contact for audits; coordinate with departments, manage timelines, and ensure deliverables.
•Contract Management: Track contract timelines, manage rate updates, and oversee expiration notifications and renewals.
•IT Oversight: Manage relationships with IT vendors and oversee helpdesk performance and strategic technology projects.
•Regulatory Reporting: Prepare and submit required filings (WUTC, L&I, OSHA, etc.); maintain compliance documentation.
•Licensing & Insurance Administration: Ensure timely renewals and documentation of business licenses, vehicle registrations, and certificates of insurance (COIs).
•Employee Onboarding Kit Management: Assemble and maintain onboarding materials, including keys, access credentials, fuel cards, and equipment.
Strategic Responsibilities
•Regulatory Foresight & Communication: Monitor changes in regulatory requirements and deliver timely updates to leadership.
•Team Leadership & Coaching: Conduct one-on-one meetings and team check-ins. Provide coaching, direction, and performance feedback and goal alignment.
•Sets team structure: Organizes, leads and facilities team activities. Promote team cooperation. Encourages participation.

•Workflow Optimization: Analyze current R&C processes and systems; recommend and implement continuous improvements to support organizational goals.
•Interdepartmental Collaboration: Partner with operations, HR, legal, and finance to support enterprise compliance initiatives.
Working Conditions
•Onsite position; occasional travel may be required for audits or vendor meetings.
•Standard business hours; flexibility may be required based on project and regulatory deadlines.
•Must be able to sit, stand, bend, and occasionally lift up to 20 pounds.

Qualifications
•Bachelor’s degree in Business Administration, Compliance, Public Administration, or related field preferred.
•Minimum 3–5 years of experience in regulatory compliance, fleet operations, or contract/audit management.
•Strong understanding of DOT, IFTA, FMCSA, OSHA, WUTC, and related regulatory frameworks.
•Demonstrated experience leading cross-functional teams and managing complex compliance workflows.
•Strong written and verbal communication skills with ability to prepare clear reports and present findings to leadership.
•Proficiency in Microsoft Office Suite; experience with compliance tracking systems and document management platforms.
•Highly organized, detail-oriented, and capable of managing multiple priorities under tight deadlines.
