Position Summary
The Project Coordinator & Executive Assistant will provide comprehensive support to the Project Director in managing day-to-day project activities, stakeholder communications, and executive functions. This role combines project coordination responsibilities with executive administrative support, ensuring effective planning, smooth execution, and timely delivery of key project objectives.

Project Coordination
- Assist the Project Director in planning, monitoring, and tracking project milestones, schedules, and deliverables.
- Prepare, maintain, and circulate project status reports, dashboards, and presentations.
- Coordinate with internal departments, contractors, and external stakeholders for project updates and action items.
- Monitor compliance with project timelines, budgets, and quality standards.
- Maintain documentation, contracts, and project records for easy reference and audit readiness.
- Support risk assessment, issue tracking, and escalation processes.
- Manage the Project Director’s calendar, travel, meetings, and appointments.
- Draft, review, and manage correspondence, reports, and official communications.
- Organize and prepare materials for board reviews, management meetings, and client interactions.
- Maintain confidentiality and handle sensitive information with discretion.
- Facilitate effective communication between the Project Director and internal/external stakeholders.
- Anticipate the Project Director’s needs and proactively manage priorities.
- 5–8 years’ experience in project coordination/PMO support and executive assistance in a large industrial, mining, or infrastructure project.
- Strong knowledge of project management tools (MS Project, Primavera, or similar).
- Excellent written and verbal communication skills.High proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook).
- Ability to multitask, prioritize, and work under pressure in a dynamic project environment.
- Strong organizational and coordination skills.
- High attention to detail with the ability to synthesize large amounts of information.
- Bachelor’s degree in engineering, Business Administration, or related field (MBA/Project Management certification preferred).
- $65,000 - $80,000 annually, depending on experience and qualifications.

- Paid Time Off (PTO): 0-5 Years: 120 hours per year. 5-10 Years: 160 hours per year. 10+ Years: 200 hours per year.
