What You Can Expect To Be Doing
The function of the Project Coordinator is to assist Haley Ward’s engineering staff by efficiently handling tasks relating to project delivery, marketing, and business development assistance. This position will require demonstration of strong verbal and electronic/written communication skills. This position is also integral in creating a welcoming atmosphere for our clients, visitors, and staff throughout the office, having a professional appearance, attitude, and demeanor, and serving as a positive ambassador of the company.
•Conducts editorial reviews in accordance with QA/QC policy.
•Maintains project filing system (both hardcopy and electronic) according to the Document Retention policy and other QA/QC policies.
•Organizes and facilitates project deliverables by working with project team to assign tasks and deadlines.
•Communicates with project team, permitting agencies, and clients as needed toward providing a complete and accurate submission.
•Assists with correspondence & communication between internal and external project participants.
•Responsible for ensuring amenities for guests are taken care of to reflect the professionalism of the organization.
•Accountable for word processing of a variety of reports and projects.
•Produce professional documents using various computer software programs.
•Assists staff with setting up meetings, reserving conference rooms, and coordinating catering/amenities as needed.
•Responsibilities may include prioritizing calls and emails/answering all routine and non-routine questions; managing calendars; making travel, meeting arrangements; preparing reports; and client relations.
What You Will Need To Succeed
•Minimum of 5 years related administrative experience required.
•Ability to develop an understanding of the needs of projects and the ability to help coordinate the project from start to finish.
•Must maintain strict confidentiality related to all interactions, meetings, information, and documents/reports generated.
•Ability to develop an understanding of the client’s interests and goals and our role in their success.
•Maintain a neat and orderly work area which will allow access to project information to other team members.
•Ability to understand job specific health & safety requirements and performs work safely.
•Take an active role in career development.
