- MUST be currently Enrolled Working to achieve bachelor’s degree in English, Marketing or Business Administration from an accredited institution. Sophomore or Junior year is preferred. Familiarization with a variety of development, authoring, and content management tools such as Microsoft Suites and SharePoint. Proficiency in these systems is preferred. Microsoft Word and Excel are required.
- Work Schedule: During School need to be able to work a minimum of 15-20 hours per week during business hours (7:30am to 5:30pm) and can work up to 28 hours a week Max if a fit for the Student and During Breaks can be up to 40 hours a week as needed. (we will work around your school schedule as needed).
- Length of Internship: 1 Year Minimum and could extend longer OR turn into a full-time position.
- Target start date will be in October or early November.
The Process Specialist Associate will have a vital role that is strategically aligned to support the field personnel with non-technical and technical documentation related to Outage Services and Safety. Responsibilities will also include managing, coordinating, and adapting the processes and procedures from the conceptual stages of draft to published within the various Quality Management (QMS) and Document Management (DMS) System(s).
- Assist with the creation and maintenance of non-technical and technical documentation.
- Partner with the key stakeholders and peers to produce world-class documentation.
- Assist Outage Services, Safety, and other teams in drafting user-facing content.
- Interpret business processes, process narratives, and configured systems to determine the simplest set of instructions for completing a specific task.
- Create, edit, proofread, and publish procedural instructional documentation.
- Participate in process and system demonstrations.
- Assist in the development of processes that enhance efficiency.
- Work with peers and leadership to maintain departmental document controls systems to drive improved business performance and customer satisfaction.
- Participate in cross department coordination activities, in larger business processes, where Outage Services or Safety is a stakeholder.
- Assist users with any questions related to document controls software, creation, and practices.
- Develop an understanding of export control and current ISO standards as they apply to document control and support compliance and initiatives, including, but not limited to internal and external audits.
- Provide Management with ad hoc reports, flow charts, procedures, work instructions, and related forms as needed.
- Utilize technology to enhance work efforts and prepare reports that represent data obtained through a variety of platforms.
- Assist in maintaining an organized document control/archival system per department and corporate standards.
- Must take a proactive approach to controlling (and escalating as necessary) risk-related issues that could jeopardize the integrity of department data, procedures, or processes.
- Actively engage in the continual improvement of processes and procedures.
- Adhere and implement branding initiatives as directed by corporate and the Marketing and Communications team.
- Assist the team with any activities relating to pre and post outage materials, including but not limited to, creating, storing, and archiving drawing books; processes and charge technological devices, scan/print documentation, prepare thumb drives for outages, and ship.
- Overnight travel (less than 5%) by land and/or air.
- Perform other such duties as may be required.
