Scope
As an Order Management Specialist at Trench Canada Coils, you will play a critical role in ensuring operational excellence and customer satisfaction across a global base of utility and industrial clients. You will own the full order lifecycle, from sales handover to order fulfillment, including SAP Sales Order processing, order and project document management, internal coordination, and proactive risk management. This position is key in connecting sales, engineering, scheduling, production, procurement, and logistics functions to ensure timely and accurate order execution.
Your Tasks:
- Review and validate incoming customer Purchase Orders to ensure they meet order entry criteria.
- Create and maintain Sales Orders in SAP, perform stakeholders’ screenings, and manage end-to-end order documentation.
- Issue applicable order and project documents in a timely manner.
- Coordinate project review meetings.
- Track all order milestones, risks, and contractual obligations with diligence and ownership.
- Collaborate with Scheduling, Engineering, Procurement, and Logistics to resolve issues and ensure smooth order execution.
- Ensure all milestones, risks, and customer commitments are tracked and reported accurately.
- Provide accurate and timely inputs for revenue forecasting and delivery projections.
- Liaise directly with customers, Sales, and Sales Agents to clarify order details, manage change requests, and maintain proactive communication.
- Maintain export documentation, and customer-specific documentation requirements.
- Support customer audits and site visits when required, acting as a professional and reliable representative of the organization.- 3+ years of experience in Order Management, Sales Operations, Project Coordination or related roles, ideally in a project-based manufacturing or custom-engineered environment.
- Experience in SAP SD and order tracking/reporting tools is an asset.
- Familiarity with terms & conditions, Incoterms, export control, and international contracts. Letter of credit experience is an advantage.
- Strong sense of urgency and accountability; you act on issues before they escalate.
- Ability to work calmly and decisively under tight timelines and high-volume conditions.
- Natural collaborator who builds rapport easily and contributes positively to team dynamics.
- Detail-oriented with strong organizational and analytical skills.
- Excellent verbal and written communication in English (additional languages such as French, Spanish, or Portuguese are an asset).
- Proficiency in MS Excel, Word, and PowerPoint.
- Prior experience in utility, industrial, or custom-engineered manufacturing sectors is highly valued.
