Canadian Niagara Power Inc. (CNPI), located in beautiful Fort Erie, is looking for an Operations Administrative Assistant to provide support to the Operations Departments and to ensure the teams work is performed efficiently. This role reports into our Regional Manager and is in replacement of an internal promotion.
Key functions of this role:
•Coordinate meetings, draft and monitor agendas, materials, minutes, attendance, along with following up and tracking action items from meetings.
•Handle confidential documents and manage retention: filing, scanning, copying, and uploading.
•Prepare documents and presentations including charts, tables, graphs, PowerPoints, and reports.
•Coordinate schedules related to time off (i.e., vacation) and generate appointments to ensure availability.
•Ensure departments operate efficiently by prompting/following up on tasks, anticipating needs, implementing suggestions, initiating improvements, and dealing with day-to-day issues.
•Assist in the maintenance of health, safety and environmental records associated with Operations Department contractors.
•Prepare VISA reconciliations, process invoices for payment, assist with budget tracking, reports, and presentations.
•Re-evaluate letters of credit annually.
•Manage the annual review of discount cash flow.
•Organize and support in the planning and execution of Company events.
•Other related tasks as assigned.
What makes you a successful candidate?
•Post secondary education in Business Administration or an equivalent field of study.
•Minimum three (3) years’ experience in an Administrative heavy role.
•Ability to function in a continuously demanding environment with changing priorities and frequent interruptions.
•Exceptional level of discretion and judgment with demonstrated problem solving skills, and the ability to take initiative where required.
•Advanced computer skills with demonstrated knowledge in MS Office Suite.
•Demonstrated high level of attention to accuracy and detail.
•Must have a valid Ontario “G” driver’s license and maintain a clean driver’s abstract.
•SAP experience is considered an asset.
•Experience working in a utility and/or a unionized environment is considered an asset.
