JOB SUMMARY
Provides day-to-day support for facilities operations, including light maintenance, event setups and mailroom operations. Assists with contractor escorting, workstation updates and front desk coverage, ensuring smooth and secure workplace operations. Includes helping with documentation, inventory tracking and general administrative tasks.
ESSENTIAL DUTIES & RESPONSIBILITIES
Performs light maintenance and repairs on plumbing, mechanical, HVAC, and A/V systems.
Operates and monitors the Building Management System (BMS).
Maintains inventory of critical operations parts and supplies; submits purchase requisitions and track inventory levels.
Ensures timely completion and closeout of work orders.
Diagnoses and resolves minor issues with electronics, A/V systems, and security alarms.
Prepares and organizes technical documentation, workstation drawings, and instructional materials.
Assists with auditorium and conference room setups, including furniture, equipment, and A/V support.
Installs and retrofits office furniture including furniture changes and repairs.
Assists with all employee moves, including documentation and communication.
Backfill front desk duties as needed to ensure coverage; includes greeting guests, staff and vendors with professionalism and hospitality, as well as providing general information and assistance to visitors.
May administer mailroom operations, including shipping & receiving and office supply ordering and stocking across all locations.
REQUIREMENTS
High school diploma or equivalent; technical training or certifications are a plus
Minimum Experience: Intermediate Level:
Minimum of two (2) years of experience in facilities, maintenance, or administrative support roles
Senior Level:
Minimum of five (5) years of experience in facilities, maintenance, or administrative support roles
Other Requirements
Basic knowledge of HVAC systems, Building Management Systems (BMS), and electrical components
Strong organizational skills with the ability to manage multiple tasks efficiently
Excellent communication and customer service skills
Ability to safely lift and move furniture, equipment, and supplies as needed
