Duties:
Duties include answering phones and booking appointments, working with estimators and customers on job scheduling, bookkeeping, interfacing with other employees and general management of the office. Must have experience with Quickbooks Online and Microsoft Office and the ability to learn our CRM and bidding systems. We are a busy office in a growing company and applicants must have the ability to multi-task, be professional on the phone, even with difficult people, and manage a multiline phone system. Applicant needs to have own transportation and be reliable and punctual.

The Office Manager is RESPONSIBLE for:
•Keeping Quick Books current and accurate
•Completing payroll submission accurately and timely
•Bank account reconciliation
•Reconcile all credit cards
•Maintaining bonus and job profitability spread sheets.
•Preparing reports for weekly management meetings.
•Answering phones, booking bids and directing calls/messages to the proper party.
DUTIES AND TASKS
•Maintaining discretion and confidentiality of communications with employees within the business
•Promote a positive image of the business
•Inform ownership timely of concerns, contradictions, and complaints regarding any job
•To be a proactive member of the Management Accountability Team
•Make certain that all system related, or data bases are updated timely
•Timely advancing external communications to the responsible internal point of contact
•Filing invoices and job file related items
•Account reconciliations for checking, savings and credit cards
•Record and distribute minutes from weekly Leadership Accountability Meeting
