We are seeking a proactive and highly organized Office & Facilities Manager to oversee the day-to-day operations and maintenance of our corporate offices in Houston, Austin, and Chicago. This position will be based in our Austin, TX office and requires a hands-on leader who can ensure the efficient, safe, and productive functioning of our facilities across multiple locations. The Office & Facilities Manager will directly manage the Austin headquarters and provide oversight to Office Managers in Houston and Chicago, ensuring consistency in standards and operations.
This role is subject to the Company’s return-to-office policy, requiring a minimum of three days per week in the office.
Key Responsibilities:
Facility Operations Management
•Oversee daily operations for facilities in Austin, Houston, and Chicago.
•Ensure all office spaces meet safety, efficiency, and comfort standards.
•Act as the primary liaison between the company and building management, contractors, and vendors.
Mail, Communication Systems, and Office Services
•Coordinate incoming and outgoing mail and packages, ensuring timely distribution.
•Monitor and route communications received via the company’s email, phone system, and fax line.
•Maintain accurate tracking systems for mail and correspondence.
Inventory and Supply Management
•Manage inventory of office supplies, promotional items, and snack stock.
•Ensure all workstations are equipped with necessary hardware, such as monitors, docks, keyboards, mice, and headsets.
•Oversee procurement processes to ensure cost-effective purchasing.
Repairs, Maintenance, and Vendor Coordination
•Coordinate facility repairs, preventive maintenance, and emergency fixes.
•Conduct routine inspections to ensure facility cleanliness, safety, and compliance.
•Manage vendor relationships to ensure timely and quality service delivery.
Health, Safety, and Compliance
•Ensure compliance with all health and safety regulations.
•Display and maintain required safety and legal posters in coordination with HR.
•Conduct periodic safety checks and address hazards promptly.
Administrative Support and Event Coordination
•Support office relocations, meeting setups, and event planning.
•Coordinate with venues for meetings, transportation, and accommodations.
•Assist in submitting documentation for vendor vetting, legal review, and accounting.
Document Management
•Organize and archive company documents, ensuring compliance with policies.
•Assign metadata to digital and physical documents for accurate indexing and retrieval.
Employee Support and Communication
•Serve as the point of contact for employee facility-related questions or issues.
•Provide clear communication regarding updates, changes, and expectations related to facilities.
Qualifications:
•Bachelor’s degree in business administration or similar field.
•3+ years of experience in facilities management or related field.
•1+ years of experience planning multi-day events for groups of 150 people and traveling from various locations
•Excellent organizational and multitasking skills.
•Strong communication skills, both written and verbal.
•Proficiency in MS Office Suite (Excel, Word, PowerPoint) and facility management software.
•Basic knowledge of maintenance and repair processes.
•Familiarity with document management systems and metadata assignment preferred.
•Ability to travel to our other office locations (Houston and Chicago) as required.
