The Office Assistant position provides essential support to the administration and estimating teams by assisting with day-to-day tasks and activities, including:
· Maintaining up-to-date information in spreadsheets and database
· Assisting in generating daily completed job summaries for invoicing
· Ensuring accurate and organized electronic storage of job files
· Managing AP invoice processing and related mailing and filing tasks
· Managing the distribution of incoming and outgoing mail
· Overseeing office supply stock and coordinating reorder requests
· Supporting the team with additional duties as necessary
· Minimum 2 years’ experience in administrative role, preferably in manufacturing or construction
· Microsoft Office knowledge and skills: Outlook, Word, Excel, and Access.
· General familiarity with procurement procedures for materials and services
· Follows company protocols and procedures with accuracy and consistency
· Knowledge of standard office administrative procedure and equipment use
· Demonstrates professionalism, multitasking ability, and superior phone etiquette in a high-volume office
· Self-motivated and capable of performing tasks with minimal supervision in a collaborating setting.
· Strong attention to detail with excellent problem-solving skills
· Proficient in English with accurate spelling, grammar, and punctuation
· Monday – Friday 7:30 am to 4:00 pm
