Job Summary
We are seeking a highly organized and proactive Executive Assistant/Office Manager to support our team in a dynamic office environment. This role is essential for ensuring smooth operations and providing administrative support to executives. The ideal candidate will possess strong communication skills, attention to detail, and the ability to manage multiple tasks efficiently.
- Provide comprehensive administrative support to executive leadership, including managing calendars, scheduling meetings, coordinating travel, and preparing correspondence.
- Oversee day-to-day office operations, ensuring an efficient and professional environment.
- Manage office supplies, equipment, and vendor relationships.
- Coordinate facilities maintenance, office projects, and general administrative support such as filing, shipping, and clerical duties.
- Assist with basic accounting functions, including invoice processing, expense tracking, and accounts payable/receivable.
- Support financial processes such as reconciliations, reporting, and budgeting.
- Collaborate with the finance team on ad hoc accounting projects and maintain accurate records.
- Draft, edit, and prepare reports, presentations, and meeting materials.
- Act as a trusted liaison between executives, employees, and external stakeholders.
- Anticipate needs, manage competing priorities, and ensure executives are fully prepared for all commitments.
- Post-secondary education in Business Administration or a related field preferred.
- Anticipates needs and proactively solves problems.
- Ability to manage multiple priorities under tight deadlines.
- Works independently while fostering collaboration across teams.
- Flexible, adaptable, and resourceful in a dynamic environment.
- Proven experience as an Executive Assistant or in a similar senior administrative role.
- Strong organizational, time management, and multitasking abilities.
- Proficiency in Microsoft Office Suite; familiarity with accounting software is an asset.
- Excellent verbal and written communication skills.
- High degree of discretion, professionalism, and attention to detail.
