We are currently recruiting for a Senior Accountant in our Roanoke, VA location.
Regional Fleet Operations, dispatching, Transportation Management and leadership of assigned personnel, assets, and/or or Management for his/her assigned terminals
Company Interfaces•Reports to National Transportation Operations Manager
•The position will interface with assigned and non-assigned direct reports as well as commercial drivers from other company locations. Additionally, this position will be in direct contact with customers, vendors and key employees within the company.
General Responsibilities
The Regional Fleet & Dispatch Manager will provide leadership, oversight and support to his/her direct reports to ensure all fleet & dispatch functions are successfully completed on time. All other duties as assigned in alignment with role including, but not limited to the following:
Administrative•Ensure all assets at their terminal are safe, compliant and legal for use in their work environments.
•Support development of capital & Maintenance planning, budgeting, forecasting for their sites and work with other regional or management personnel as needed
•Address customer inquiries, problems and concerns.
•Ensure managers are inspecting the "Daily Load Schedule" for next day shipping according to time, location and product orders AND Work with the Terminal Managers to arrange third party haulers for incoming product.
•Ensure managers approve any employee timecards, VISA card reconciliation, and/or any third-party freight or other Fleet Asset invoices accurately and in a timely manner.
•Oversee terminal lot vehicle fuel distribution process including authorizing and completing the Fuel Ticket process for each request.
•Conduct yearly performance evaluations for direct reports and provide input an approval to evaluations for indirect reports to determine additional compensation based on performance.
•Support development of MONTHLY reporting, KPI's, Metrics', Benchmark's for Fleet Asset, Logistics and Transportation Management items.
Transport
•Address and manage all additions and revisions to the "Daily Load Schedule" as applicable.
•Manage clerical work related to dispatching motor vehicles to transport and receive product(s).
•Assist F & D Manager in addressing driver concerns and urgent issues regarding product loads, motor vehicle and other related transportation issues.
•Oversee the "Weigh" process for incoming and outgoing trucks receiving product loads including:
•Weigh and record truck weight before receiving each product load;
•Weigh and record the weight of every loaded truck after it has been loaded with product;
•Understand and use weighing scales and applicable equipment to record weigh data;
•Complete and print "Asphalt and Trip Tickets." Retain the designated copy for dispatch record keeping and distribute the remaining "Asphalt" or "Trip" ticket copies to the driver of the applicable load;
•Request and receive every "Asphalt" or "Trip" ticket from each driver upon his/her return;
•Retain yellow copy of "Trip" Ticket for mileage entry into master log record.
•Assist in review of daily logs and record HOS recap.
•Responsible for working with Human Resources and F & D Managers to interview, hire, counsel, discipline, and terminate drivers, mechanics or dispatchers.
Vehicle Maintenance Program
•Maintain adequate levels of fuel(s) required for terminal and trucking operation.
•Manage routine Company vehicle and equipment maintenance including:
+ Schedule, oversee and approve routine maintenance data reports;
+ Approve and oversee applicable repairs including the selection of repair/vendor services, scheduling, correction and the payment process;
+ Oversee Company annual winter maintenance program;
+ Maintain Company vehicle tire program including the review of data, recommendations, purchase and payment process;
+ Assist in the input of maintenance records into "Fleet Mentor" program.
Safety
•Ensure all assigned personnel maintain compliance with all mandates governing their areas, including but not limited to;
+ periodic inspections (DAILY, WEEKLY, MONTHLY, YEARLY OR OTHER)
+ Utilizing proper PPE for the task being performed.
+ Hazmat / waste handling with SDS records / information
+ eye wash locations are accessible, clean, and operational
+ That all tank valves are in the off position when not in use
+ Ensure Fleet Operations for DOT (state/Fed) FMCSA, OSHA, ERGON, Associated asphalt policies, etc are kept within standards at all times.
Shop
•Ensure shops are kept clean and well organized.
•Ensure mechanics have the proper certifications to perform their various task.
•Ensure maintain parts and tire inventories are accurate and well-supplied for all locations.
•Manage all vendor relationships.
•Ensure managers conduct monthly inspection of shop to ensure all safety standards are met.
•Ensure shops maintain a professional appearance by painting, stripping, or cleaning inside or out.
•Schedule mechanic work so all tasks are complete.
•Ensure mechanics have the proper tools to complete their task.
Containers (Where Applicable)
•Maintain inventory of all oversea containers
•Track oversea container locations
•Manage on time inspections with any repairs of oversea containers
•Be involved in spec and purchase of new over sea containers
•Seek approval from the National Transportation Manager to scrap containers that are no longer repairable.
•Manage disposal of containers that have been approved to scrap containers.
General Qualifications
•Associate's Degree in Business or equivalent experience.
•Experience in fast-paced trucking environment.
•Solid computer skills with Microsoft Office Suite preferred.
•Excellent oral and written communication skills.
•Proven leadership and team building experience.
•Current CDL certification and prior commercial driving experience and good driving record.
•Ability to drive manual or automatic transmission truck with tanker.
Physical Requirements
•Ability to sit/stand and/or walk for long periods of time.
•Manual dexterity; ability to reach; able to bend and move with agility.
•Ability to lift and move up to 25 – 50 lbs. as needed
•Ability to work in a variety of outdoor conditions to support drivers, as needed.
•Able to travel as needed to assigned terminals, company meetings, conferences, etc. Travel expectancy 30%.
