Job Summary:

The CSR/Dispatch role will be the first point of contact for our customers and will also handle various administrative tasks. A large part of this role includes dispatching technicians efficiently throughout the day using Service Titan, as well as replying to incoming leads through platforms like Thumbtack, social media, and Yelp. Responsibilities also include scheduling, managing customer records, invoicing, daily reconciliations, data entry, fleet maintenance, IT support, office upkeep, and running errands. The ideal candidate will have excellent communication skills, be well-organized, and capable of multitasking in a fast-paced environment. This job has a lot of internal support and will receive training by an expert in Service Titan.

Key Responsibilities:

Customer Service & Dispatching:

Answer calls and respond to customer inquiries professionally.
Schedule and coordinate service appointments using Service Titan.
Dispatch technicians throughout the day with attention to timing, routing, and availability.
Respond promptly to online leads through Thumbtack, social media platforms, and Yelp.
Must be able to take calls and do data entry simultaneously.
Provide information about services, pricing, and current offers.
Handle customer complaints and ensure satisfaction.
Maintain and update customer records in Service Titan.


Administrative Duties:

Reconcile employee time cards and purchase orders daily.
Handle mail and outgoing correspondence.
Provide basic IT support and maintain filing systems.
Manage shipments and run errands as needed.
Help keep the office environment clean and organized (we have a cleaning service but this is the in-between).
Schedule and manage meetings and appointments.
Manage office supplies and vendor relationships.
Handle communications and support HR functions.
Oversee fleet maintenance and associated data entry.


Requirements:

High school diploma or equivalent; additional education in office administration or customer service is a plus.
Proven experience as a CSR or in a similar administrative role.
Strong IT/software skills
Excellent communication, organizational, and multitasking skills.
Ability to work independently and as part of a team.
Reliable transportation and clean driving record.
Comfortable with pets (we have a golden retriever in the office) and construction projects.
Ability to lift 40 lbs.
Valid driver’s license and reliable transportation.
