The Contract Analyst will perform standard and advanced administrative duties which include data entry, report preparation, contract administration and special projects as needed. We are looking for an individual who is detail oriented and appreciates the need to deliver timely and accurate work to all customers, internal and external.
This role is Hybrid, based at our Corporate HQ in Portsmouth, NH. Major Duties / Responsibilities:
- Provide support to the Natural Gas Trading Department personnel to include the following:
- Contract administration, including interacting with outside vendors
- Prepare, distribute and file deal confirmations; confirm vendor deal statements
- Enter transaction confirmations in Safari system, run management reports, and maintain Excel spreadsheets
- Manage department’s paper and computer-based records keeping system
- Manage and review oil confirmations and fixed forward order forms, including:
- Manage the inbound and outbound contract confirmations for Oil Supply and Marketing: including but not limited to document retention, filing and status reporting.
- Perform the daily review / comparison of marketing fixed forward order forms (contract desk and e-comm platform generated) to SolArc.
- Scan and distribute Oil Supply broker and counterparty transaction confirmations to Oil Supply Traders.
- Perform, on an as needed basis, the daily review of the Oil Supply broker and counterparty transaction confirmations in accordance with the trade sheets. Prepare correspondence as necessary to Brokers and Counterparties for amendments.
- Complete contract data management requirements, including:
- Maintain current and accurate contract number assignment lists.
- Assist in sending contracts for execution, creating department files and scanning documents.
- Coordinate electronic file transfers
- Answer phones as necessary
- Maintain updated documentation for each process (both as training tools and SOX compliance)
- Bachelor’s degree and/or 1-3 years of energy industry experience.
- Strong computer skills preferably with knowledge of Microsoft Excel, Word, and Adobe Acrobat
- Excellent verbal and written communication skills.
- Ability to work independently, prioritize workload, perform under pressure in a fast-paced environment and relate to customers/outside contacts and fellow employees.
- Ability to operate basic office equipment.
- Must be detail oriented.
- Basic knowledge of ergonomic principles.
