Job Summary:
Supports Contract Administration Manager with AP, AR, Inventory, Deal Entry and Contract and Confirm review.
Duties and Responsibities:
- Accounts Payable- Identify and correct pricing/Bill of Lading (BOL) issues and send to accounting to pay. Also, reach out to Suppliers (external) via email or phone to review pricing issues and resolve those issues.
- Rail deals and updates/Wholesale AR/Blending deals- Enter and update railcar deals in Right Angle. Work closely with Rail group and Master Reference Data (MRD) to enter and update rail information in RA. Apply Wholesale invoice payments in SAP. Contact customer if payment details are not included or unclear. Work closely with Scheduling and MRD to update Blending Deals as new locations are added to RA by MRD.
- Deal entry – commodity and financial deals - This role will work independently and closely with Supply Managers to enter and update purchase and storage deals in Right Angle in a timely and accurate manner. Compare confirmations received from Suppliers and use discretion to ensure the details of the deals are accurate and complete in RA. Also, reach out to Suppliers(external) for missing confirmations and to confirm/correct issues with those confimrmations that don’t match deal details in RA. This role will also serve as back up for financial deal entry/approval. Review and attach confirmations and emails to deals in Right Angle. This role maintain Contract Admin email box, file, print and reply to confirmations sent to us for purchase deals as well as the RA Product Deals email box where they will work directly with Supply Managers to ensure accurate deal information. Maintain SharePoint and shared drive files by uploading and saving contracts. This role will also compile data for projects as needed such as requests from the Legal Department for confirmations (requested annually). This role acts as gatekeeper for deals entered into RA to make sure they are accurate and complete. This role also works closely with Master Reference Data (MRD) to ensure accuracy of data across systems.
- Work closely with Pricing Analyst role and cover the Pricing role when they are out of the office. The Pricing roles works with internal and external customers to make sure pricing is right on AP invoices sent to us to pay. The Pricing role also enters daily rack postings into Right Angle excel uploader spreadsheet and transmits those to RA. Pricing follows up on past due invoices and pricing issues to remedy issues. Pricing role also maintains and verifies OPIS pricing is accurate and complete in Right Angle.

- Close/month end issues as needed, assist Contract Administration Manager as needed. Work closely with accounting and supply during month end close to make sure bol’s (bill of ladings) are entered into Right Angle and all transactions associated with those bol’s are created in order for accounting to close Right Angle for the month. Work independently to review incomplete and zero value transactions and review with scheduling to make necessary updates to clear those transactions. Attend month end close zoom calls during Business day 1-4 of month following the month we are closing. Check prices and deals for accuracy and work closely with Contract Administration Manager as needed.

Education and Experience:
Bachelor’s Degree
1-3 years’ experience
