Join Our Team as a C&I Project Coordinator!
Are you a detail-oriented professional who thrives on keeping projects running smoothly from start to finish? We’re looking for a Commercial & Industrial (C&I) Project Coordinator to take charge of dynamic, high-value projects and ensure everything stays on track — from contracts and job costing to billing and internal communication.
In this pivotal role, you’ll be the organizational powerhouse behind our C&I operations, helping to deliver top-quality results to clients nationwide. You'll work closely with cross-functional teams, support national accounts, and contribute to excellent customer service, collections, and compliance — all while playing a key role in the success of our major contracts.
If you're someone who loves juggling multiple priorities, collaborating across departments, and making a tangible impact, this is the role for you.
Key Responsibilities:
•Project Coordination: Manage all aspects of C&I projects, ensuring smooth communication between Sales, Warehouse, Scheduling, Service teams, and customers. Maintain accurate job files and oversee project timelines and documentation.
•Financial Oversight: Handle progressive billing, job costing, purchase orders, internal sales orders, and monthly financial reporting. Support commission calculations, warranty processing, and delivery tracking.
•Customer & Account Support: Serve as a point of contact for national accounts, respond to customer inquiries, assist with scheduling and collections, and manage client data and service tickets within NetSuite. Prepare quotes for select water treatment systems.
•Administrative & Communication: Coordinate call queues, track communication, support internal teams across branches, and manage compliance documentation. Help develop cross-training plans to ensure coverage during team absences.
Qualifications:
•3+ years of experience in project coordination, customer service, or billing in a commercial/industrial environment.
•Proficiency in ERP systems (e.g., NetSuite) and Microsoft Office Suite.
•Strong organizational and multitasking skills.
•Excellent communication and interpersonal abilities.
•Knowledge of job costing, progressive billing, and account reconciliation preferred.
•Experience with national account management and vendor relations is a plus.
Salary & Benefits:
•Comprehensive benefits: Health, dental, vision, disability, life insurance, and matching 401k.
•Enjoy a 4.5-day workweek, with every Friday off at 12:00 noon!
