We pride ourselves on integrity, precision, and client-centered service. We’re looking for a motivated and detail-oriented Administrative Coordinator to support our Land and Management teams.
Position Summary
The Administrative Coordinator is responsible for supporting Landmen and Management with contract preparation, document processing, data entry, and day-to-day administrative operations. This role is ideal for someone who thrives in a fast-paced environment and values accuracy, communication, and organization.
Responsibilities
•Assist Landmen with preparing and processing contracts, leases, assignments, agreements, reports, and spreadsheets
•Maintain and update internal databases, spreadsheets, and filing systems
•Review and route correspondence, invoices, and documents for approval
•Assist with basic bookkeeping tasks, including processing expense reports and supporting month-end reporting
•Coordinate meetings, office events, and logistics (e.g., catering, scheduling)
•Greet visitors and manage incoming and outgoing mail and packages
•Order office supplies and track inventory levels
•Assist with travel arrangements and accommodations for staff
•Perform general administrative tasks such as scanning, printing, data entry, and equipment support
•Maintain confidentiality of all sensitive and proprietary company information
•Provide general support to all staff as needed
•Take initiative on special projects and additional responsibilities as assigned
Qualifications
•3+ years of administrative experience preferred
•Industry experience in land, energy, legal, or real estate preferred
•High School Diploma required; Associate’s or Bachelor’s degree preferred
•Strong verbal and written communication skills
•Excellent time management, organization, and attention to detail
•Proficiency in Microsoft Office Suite and Google Workspace (Docs, Sheets, Drive)
•Ability to manage multiple tasks and deadlines independently
•Experience handling confidential information with discretion
•Self-starter with a positive, professional attitude
Physical Requirements
•Ability to sit or stand for extended periods
•Use of hands for typing, writing, and operating standard office equipment
•Ability to lift up to 20 lbs (e.g., files, supplies)
•Mobility to navigate the office and attend meetings as needed
