We have an immediate opening for a motivated individual seeking a Receptionist/Administrative Support role. Successful candidate must be willing to learn and be open to various task assignments while working in a fast paced, high energy environment . Must have the ability to work with integrity and maintain the highest level of confidentiality. This role may evolve over time, and we’re looking for someone who’s comfortable taking on new challenges and responsibilities as needed.
- Reviewing contracts, summarizing key terms, and flagging potential risks.
- Conducting legal research on relevant laws, regulations, and industry requirements.
- Researching and compiling property ownership records and related documents.
- Answering and directing callers on a multi-line phone system; greeting and directing in-person visitors.
- Managing mail pick-ups, drop-offs, and handling light office tidiness and inventory.
- Running errands and providing logistical support as requested by ownership.
- Assisting the owners with executive administrative duties and special projects.
- Supporting other departments with various clerical needs including filing, document prep, and scanning.
- Coordinating office supply orders and maintaining inventory.
- Assisting with company event planning and coordination.
- Maintaining strict confidentiality and professionalism at all times.
Candidate must be able to meet the following requirements:
- High attention to detail, especially when reviewing legal or repetitive documents.
- Strong written and verbal communication skills, including active listening.
- Ability to balance reception/administrative work with legal research and contract review.
- Organized and able to prioritize shifting tasks effectively.
- Strong judgment and discretion with confidential information.
- Must have a valid driver’s license and reliable transportation for errands.
- Capable of lifting, bending, light stocking, and prolonged sitting/standing.
- Quality customer service and professional demeanor.
- Strong organization, document control, and research skills.
- Self-starter with the ability to work independently and in a team.
- Ability to follow detailed direction and meet strict deadlines.
- Intermediate proficiency in Microsoft Office (Word, Excel, Outlook).
- Typing speed 50+ WPM.- Prior paralegal or contract review experience strongly preferred.
Applicant must pass proficiency tests for typing, math and Excel before being considered for interview.
