This role is 4 days onsite and 1-day, remote (Typically Friday but will be based on business needs).
The Administrative Assistant provides high-level administrative support to the General Manager and leadership team within the Supply & Trading and Shipping organizations. This role ensures efficient operations by managing schedules, communications, travel, and internal coordination. Provides administrative or office support to non-executive employees, departments, or functions. Manages group and employee work to align with corporate/department objectives. Direct reports are typically individual contributors.
- Manage executive calendars
- Prioritize Meetings
- Coordinate appointments
- Screen and respond to emails
- Correspondence on behalf of assigned employees.
- Organize and support meetings, conferences, and team events.
- Maintain communication across internal departments and external stakeholders.
- Prepare reports, presentations, and handle confidential documents.
- Collaborate with other administrative staff to ensure seamless operations.
- 5–10 years of administrative experience supporting senior leadership.
- Strong organizational skills with the ability to manage multiple priorities.
- Excellent written and verbal communication skills.
- High proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint, Teams, OneNote).
- Ability to handle confidential information with discretion.
- Strong interpersonal skills and ability to work in a fast-paced environment.
PREFERRED QUALIFICATIONS
Experience in supply chain, trading, or energy industry environments.
Familiarity with global travel coordination and compliance requirements.
