Job Family Summary Purpose
Under the direction of the Director – Substation & Transmission Engineering, Compliance, Project Management (PM), and Asset Management (AMS), provides administrative support to the Transmission, Substation & Relaying (TSR) Engineering, PM, AMS Departments and coordinates with various other departments as assigned. Duties include expense reports, travel requests, requisitions, invoices, ordering supplies, facility maintenance, mail distribution, and records retention.
Education•Associates degree, or an equivalent combination of related education, training and experience.
Experience
•0-2 years or more experience required.
Minimum Knowledge, Skills & Abilities
•Experience in a diverse office environment with internal and external customer service responsibility.
•Knowledge of general office procedures, practices, and filing system.
•Must be able to work independently with limited supervision, flexible and adaptable at all times.
•Working knowledge of computer software applications, including MS Office Products (Word, Excel, Power Point, etc.)
•Ability to work calmly under stressful conditions
•Effective verbal and written communication skills.
•Ability to maintain effective working relationships with officers, managers, fellow employees, and the general public.
•Ability to maintain a strong sense of propriety concerning confidential matters.
Essential Job Functions
•Administrative support for sections under Transmission, Substation, Relay Engineering Departments, Meter Testing, Relay Construction, Asset Management, and Project Management.
•Duties to include, but not limited to: Expense reports, travel requests, equipment requisitions, invoices, ordering supplies, coordination of area maintenance, records retention, office supplies, workflows for badging/keys/access issues, and timecards.
•Maintains records and reports for the TSR Engineering, Meter Test, Project Management, and Finance departments, such as the TSR contact list, Substation Directory, Workorder List, Invoice tracking, TXDOT documentation, Safety Indicators, etc.
•Work with the Safety department to ensure required training is scheduled and tracked for field operations.
•Responsible for the department's petty cash fund and per diem requests.
•Responsible for the payroll daily & weekly time sheet entries for all TSR engineering, P&C Construction, Meter Test, Asset Management, and Finance departments, confidential & union.
•Knowledge of Oracle, Power Plant, LiveLink, Advanced System for Process Engineering (ASPEN), Transmission Outage Application (TOA), and SharePoint.
•Invoicing support for external entities that offer services or share ownership of assets.
•Assist Management in maintaining O&M expenses and provide variance reports.
