The Accounting Assistant is responsible for supporting the Accounting Manager with Accounts Payable and Accounts Receivable. The individual will also be asked to complete various invoicing tasks as well as assist in tactical month end processes. He/She should also have a positive attitude and a willingness to converse and work with all departments.
Key Responsibilities (Duties may be adjusted or expanded as business needs evolve)
· Process receivables inside ERP system (Global Shop Solutions)
· Submit invoices via applicable customer vendor portals (ex. Caterpillar portal “Webforms”) upon shipment of parts
· Manipulate system data to conform with specific invoice submission processes for customers as necessary
· Manage and process commercial invoices for international customers
· Assist Accounting Manager in completing month end and year end journal entries whenever necessary
· Process invoices and payments in Accounts Payable
· Ensure the AP is up to date and managed effectively
· Additional accounting duties and projects as assigned.
- High school diploma required; Associate’s/Bachelor’s degree preferred.
- Proficiency in Microsoft Word and Excel; experience with ERP software preferred.
- Strong written and verbal communication skills with the ability to remain professional under pressure.
- Ability to read and execute procedural manuals, and update as needed.
- Strong organizational skills with exceptional attention to detail.
- Ability to multi-task, prioritize workload, and work effectively in a fast-paced environment.
- Solid problem-solving skills and the ability to apply practical judgment in standardized situations.
