Manage end-to-end payroll processing for U.S.-based employees, including:
Collecting and validating all payroll data each pay period.
Calculating wages, retroactive pay, allowances, gross-ups, deductions, vacation, holiday, and overtime in compliance with U.S. federal, state, and local regulations.
Coordinating with the International Assignment team for expat/inpat payroll matters.
Ensuring accurate pay and tax profile setup in Paycor.
Managing tax compliance and remittances at all jurisdictional levels.
Conducting year-end payroll processes to ensure accurate W-2s and financial reporting.
Preparing and submitting monthly payroll reports to Finance, including cost center allocation corrections.
Auditing quarterly tax filings and payments to government agencies.
Responding to employee payroll inquiries and resolving issues promptly.
Oversee the onboarding process for U.S. employees to ensure a seamless transition:
Collaborating with IT to ensure timely setup of accounts, equipment, and access.
Liaising with employees, immigration service providers, and the corporate immigration team on visa applications and renewals.
Ensuring ongoing compliance with U.S. visa and work authorization regulations.
Monitoring immigration status changes and maintaining up-to-date records.
Managing a centralized log of visa and permit expiration dates and notifying relevant stakeholders.
Maintain accurate and up-to-date employee data in Workday and Paycor:
Creating and updating employee records, including job changes, compensation updates, and required IDs.
Coordinating with internal HR teams for accurate data handling during transfers.
Administer employee benefit programs in the U.S., including:
Managing benefit enrollment and disenrollment processes (health insurance, 401(k), auxiliary benefits).
Acting as a liaison with benefits providers to resolve employee issues.
Coordinating open enrollment processes and communicating benefit changes.
Administering payroll components of the 401(k) and Global Shares programs.
Stay up to date with changes in payroll, HR, and immigration regulations.
Identify and implement process improvements and best practices.
Partner with internal departments (Finance, Legal, IT) to support broader HR and organizational initiatives across U.S. operations.
Contribute to HR team objectives by promoting a collaborative and solution-oriented work environment.
Perform other duties as assigned to support departmental and company goals.
