Job Summary
Provides Training Center administrative support and project coordination for Technical Training across the NiSource Training Centers.
Essential Functions
- Greets all trainees, colleagues, guests, and visitors to the training center
- Coordination of building services and facilities including maintenance activities, contractors, external and internal matters
- Receiving/shipping for the training center
- Supports Training staff internal/external to the training center including training room needs, preparation for training activities and organizing training materials
- Communicates with internal and external contacts
- Assists with the administration of Operator Qualification testing protocols including file management of ILP’s and other paperwork. Verifies personnel’s eligibility to test
- Primary back-up for Lead Training Coordinator
- Recommends, implements and maintains improved administrative systems, procedures and processes
- Offers cost saving options
- Monitor action items and requests to ensure effective and timely completion by required dates
- Completes assigned projects and tasks with minimal oversight and direction
- Composes and responds to diverse communications, edits and proofreads materials, maintains confidentiality, utilizes correct grammar, punctuation and spelling
- Create reports and spreadsheets by obtaining, compiling and organizing data
- Records and maintains records of class completions
- Prepare and order training materials, office supplies and equipment utilizing best cost alternatives
- Plans, coordinates and attends meetings and records action items
- Monitor training center spending and expenses and look for opportunities for savings and best cost alternatives
- Tracks I.T. tickets for local training center issues
- Provides training coordination support for Apprenticeship programs
- Coding and reconciliation of training center invoices
- Reallocation of training expenses to proper accounting/location
- Single point of contact for the entire facility
- Manages all the facility meeting rooms and training rooms as well as collaborate with operations
- Coordinates offsite training sites
- Submits and manages all security requests for new employees and subcontractors
- Manages all security requests for the facilities
- Coordinates veteran in training reimbursement
- High School Diploma
- 1-3 years recent project coordination or related administrative support experience
- Demonstrated Proficiency with Microsoft Word, Excel, PowerPoint, Lotus Notes (or other email client, such as Outlook)
- Strong interpersonal skills and the ability to project a professional demeanor and image
- Ability to learn and coach others on software programs
- Knowledge of proper document design and execution, e.g. report formatting, business letters
- Strong communication skills and professional demeanor
- Ability to take initiative
- Ability to multi-task
- Ability to travel (5%)
- Ability to be Veterans Administration certified for training reimbursement Upon Hire

Salary Range*:
$52,400.00 - $73,300.00
- The salary offered to a candidate is based on several factors including but not limited to the candidate’s skills, job-related knowledge, and relevant experience, as well as internal pay equity.
