Overview
The Town of Rivesville is seeking a highly organized, detail-oriented, and reliable individual to serve as Town Clerk. This critical position is responsible for overseeing the town’s financial records, payroll, business licenses, building permits, and police department bookkeeping. The ideal candidate will have strong administrative skills, accounting experience, and a commitment to public service. This role requires proficiency in file management, calendar management, and a strong understanding of office software, including Google and QuickBooks. The Clerk will play a vital role in ensuring efficient communication and coordination within the organization.
Responsibilities
•Bookkeeping: Maintain accurate and up-to-date financial records for the municipality, including accounts payable and receivable, and financial reporting.
•Payroll Administration: Process payroll for all town employees, ensure compliance with federal and state laws, and maintain payroll records.
•Business Licensing: Issue and renew business licenses, maintain licensing records, and ensure compliance with municipal codes.
•Building Permits: Process building permit applications, track permit statuses, and coordinate with the building inspector as needed.
•Police Department Bookkeeping and Court clerk: Manage financial records specific to the police department, including petty cash, fines, and departmental expenditures. Handle all Police Court Clerk duties.
•Public Records Management: Maintain official town records, minutes, resolutions, and ordinances in compliance with applicable laws.
•Customer Service: Assist residents and businesses with inquiries related to licenses, permits, and town services.
•Collaborate with team members to ensure smooth workflow and address any administrative challenges that arise.
Qualifications
•Proven experience in municipal administration, accounting, or a similar role
•Proficiency in QuickBooks or other accounting software
•Knowledge of state and local regulations related to municipal operations
•Strong communication, organizational, and time-management skills
•Ability to work independently and maintain confidentiality
•High school diploma or equivalent required; associate’s or bachelor’s degree in accounting, public administration, or related field preferred
