Job Summary:
A Shipping and Receiving Specialist is responsible for managing incoming and outgoing shipments, ensuring accuracy in documentation, and maintaining a well-organized warehouse. The ideal candidate is proactive, organized, and capable of working independently to support overall operational efficiency.
Pay for this position is dependent upon experience.
Key Responsibilities:
Receiving:
•Receive, inspect, and verify incoming shipments against packing lists and purchase orders.
•Inspect received items for damage, quantity discrepancies, or non-conformance, and report issues promptly to quality control or purchasing.
•Tag incoming materials upon receipt to ensure proper identification and traceability throughout the facility.
•Maintain digital and physical records of incoming materials, including MTRs, certifications, and inspection forms.
Shipping & Internal Order Fulfillment:
•Review internal job schedules and sales orders daily to queue warehouse pulls in the correct priority order
•Create accurate pick list for warehouse personnel, organized by job number, customer, and due date.
•Monitor order statuses and follow up with warehouse teams to ensure timely fulfillment and shipment readiness.
•Communicate with internal teams, including sales, production, and warehouse staff, to prioritize shipments.
•Build and stage loads for local delivery routes, ensuring materials are grouped logically by customer, stop sequence, and delivery priority.
•Verify that outgoing shipments are packaged according to company and customer specifications.
•Notify drivers of their routes and delivery schedules for the next day.
•Generate shipping labels, packing slips, and other necessary documentation.
•Schedule pickups and coordinate with 3rd party carriers to ensure timely delivery.
•Maintain records of shipments, tracking numbers, and delivery confirmations.
•Ensure compliance with shipping regulations, safety guidelines, and company policies.
Qualifications:
•2+ years of shipping, receiving, or warehouse coordination experience
•Familiarity with ERP systems and shipping platforms (UPS, FedEx, LTL, etc.)
•Experience in routing or building loads for delivery trucks
•Strong organizational and communication skills
•Attention to detail, especially with documentation and traceability
•Comfortable working in a fast-paced, deadline-driven environment
