Position Summary:
Reporting to the Manager - Marketing, the Settlements Analyst and Office Coordinator is accountable for the execution of business activities related to settlement processes, including contract review and price confirmations, for crude oil and refined product transactions. The Settlements Analyst and Office Coordinator will also be responsible for office administration in support of a small team, including managing the budget process and overseeing all activities related to office management.
Responsibilities:- Support the settlement and pricing activities related to the contract settlement processes including:
- Manage price components table in the proprietary contract management system in order to ensure formulas are accurate and add/remove components as best serves the business;
- Provide weekly and monthly price confirmations with counterparties to ensure alignment prior to cheque exchange;
- Resolve price discrepancies that may arise from daily invoiced transactions.
- Support the contract review process for recording sales of refined product and purchase and/or sale of feedstock, including:
- Deal review to ensure alignment between the counterparty and NWR including compliance with legal terms and conditions;
- Draft deals on NWR paper as required;
- Filing adequate support for internal / external audit standards;
- Follow-up with counterparties and/or trader in cases of trade mismatches and coordinating corrections;
- System entry and correction as required;
- Support the approved GTC and netting agreement list;
- Manage online data room by adding contracts and long term agreements;
- Support the Manager - Marketing with the budgeting process and the administering office activities;
- Build and maintain effective working relationships with Management and Owners;
- Support collaboration within and outside the Marketing function to ensure exceptional stakeholder service internally and externally;
- Oversight of the HSE procedures for the Calgary Office:
- Coordinates semi-annual HSE meetings;
- Administer the building safety program through the WPS app ensuring all staff have access to emergency training.
- Understands, creates and maintains a visible commitment to process and personal safety, as well as the safety of others; adheres to NWR’s Core Competencies to drive results and a high performing culture;
- 5+ years of experience; Broad range of experience across settlements and contracts in crude and refined products;- Proficiency in MS office suite, specifically Excel, Word, and PowerPoint, efficient and accurate data entry skills;
- Strong attention to detail and organizational skills;
- Motivated and energetic with the ability to multi-task and work independently;
- Ability to analyze and resolve problems in a steady-paced environment, responding to multiple internal and external stakeholders;
- Must be a team player; willing to continuously and proactively collaborate, share, and seek information and guidance.
