Job Description
We’re seeking an organized, friendly Scheduler/Administrative Assistant to be the backbone of our operations. In this full-time role, you’ll coordinate service appointments, manage office tasks, and deliver exceptional customer service. If you have experience with financial reports like balance sheets or P&L statements, that’s a bonus to support our team! Your work will directly impact our customers, from rural homeowners to local businesses.
Key Responsibilities:
•Schedule Services: Arrange septic pumping, portable restroom deliveries, and car wash tank cleanings (3–5 days out) using CRM software to optimize routes.
•Manage Office Tasks: Answer phones with our welcoming script, log customer details in the CRM, maintain schedules, and order supplies.
•Support Financials (Optional): Review balance sheets/P&L statements and track expenses (e.g., truck costs) to assist our Bookkeeper, if experienced.
•Delight Customers: Provide “2nd Mile Service” through friendly calls, emails, and follow-ups, ensuring a seamless experience.
Qualifications:
•Experience: 2+ years in scheduling, office administration, or customer service (septic, plumbing, or logistics experience a plus). Financial report experience (balance sheets, P&L) is a bonus.
•Skills: Strong organization, multitasking, and communication. Proficient in CRM software (e.g., ServiceCore) and Microsoft Office (Excel, Word). QuickBooks knowledge a plus.
•Attributes: Customer-focused, proactive, and trustworthy. Comfortable with confidential data.
•Schedule: Full-time, Monday–Friday, 8 AM–5 PM, with occasional flexibility (e.g., early scheduling).
